Introduction

Today many organizations are experiencing the effects of decline sales. Where many companies are going into automation to increase the revenue. Main motive of the report is how R.E.M (Repair made easy) evolves from being manual based system to integrating automation in the system. RME majorly deal with spare parts and services for a diverse variety of computers which includes desktops and notebooks at much affordable price. As the time began to roll on the company was left behind the time which was reluctant to change and stuck to manual system which is causing them a several issues in regards with the maintenance of Excel Spreadsheets to keep the track of different customers. The overall aim is implementation of the system is to ensure that a comprehensive information management system is developed which shall have the potential to handle the business processes of the organization in a comprehensive manner.

The overall objective is divided into different segments as the complexity is pretty high since there are different stakeholders as the expectations are different for different groups.

     Need of an information system.

     Need for a proper investigation to implement an effective framework.

     Implementing a Gant chart with WBS consisting the key factors involved into the project.

     Create a cost benefit analysis for the system.

     Open several physical stores that will be connected via internet and will constitute a centralized database which will increase the annual sales and decrease the annual operation cost

2. Approaches to Systems Development

The requirements and specification of the RME are clear and intact as RME is facing difficulties with the manual system and the owner has decided to implement new strategies in regards with the development of the new web-based system. This new web based system will eliminate the loopholes and grey areas while increasing the efficiency and reducing the cost. Employees will also be interconnected with each other as RME is looking to expand its reach and business operations as new physical stores will be established throughout Melbourne. The business could be developed using Waterfall method as the requirements are crystal clear without any deviations in it. Waterfall development allows departmentalization and overall control over the flow of scheduling and deadlines. Each phase of the project is easy to manage due to the rigidity of the waterfall model. Each phase have specific deliverables and a review process. Also the technology is understood which is to be implemented as its going to be web based and there are no ambiguous requirements.

3. Systems Requirements

RME provides services for wide range of services to their customers dealing with spare parts at an effective price bracket. Due to being manual system it’s facing issues with the spread sheet system with no proper coordination which is taking down the profit and increasing loss. Therefore, it’s integrating a web-based information system. Which introduces a set of Functional and non-functional requirements.

FUNCTIONAL REQUIREMENTS: They define the required behaviour of the system to be built. The below requirement will provide company an ease of access to the information essential for daily operations. However, ensuring online security also plays a vital role. Let’s list few functional requirements

  • Employee login systems
  • Web portal
  • Proper update of the customer’s information
  • Authentication of database maintenance
  • Centralizes system to store data
  • Order processing
  • Cloud computing systems availability
  • Procurement
  • Payment processing ,Payroll processing
  • Vendor mapping, selection, payment, order processing, receipt generation
  • Access to marketing history and broadly incorporated marketing information
  • Navigation system for finding right information about clients and suppliers
  • Provision for backing up data

Whereas non-functional requirements are defined as the Overall attributes of resulting system. Most of them relate the system as whole. They include constraints on timing, performance, reliability, accuracy, the development process etc..

      Security

      Confidentiality

      Authentication

      Response Time

      Usability of the system

      Ease of deployment.

4. Project Cost/Benefit Analysis

Project cost/Benefit analysis plays a vital role in the cost breakdown structure and gives a clear view on financial segment of the project and helps determining the beneficial aspect related to it. It helps the managers to determine the value of the project. The owner has estimated that the life span of the system is 5 years; therefore, the developmental procedure should be completed within 1 year. The net benefit for RME would be $372639.31 after the five years of the new IT system commencing the operation also, the payback period of the project is within 3 years which is 2.21 years exactly and the maintenance cost is $12,000 which were the condition given by the RME management. Recurring cost will be $1000 for the next 5 years. As the project also involves deploying multiple stores throughout Melbourne which will require huge staff taking that into consideration staff cost increases and settles at 290,000 which also increases the hardware and included training cost estimated at $351000 for the hardware and training at $91,000. The projected cost-benefit analysis states that investment on RME will yield benefit for the company in long run.
5. Project Management and Scheduling

When we receive input on the work packages from various groups performing specific tasks, it’s the job of project manager to take those work packages extract relevant information and develop a project schedule. This schedule helps us identify when each specific task should being, and which follows next overall helps in determining the duration of the project also give the amount of flexibility into the project. A  Gantt chart provides a graphical structured overview of the project timelines, project dependencies and the order for the task to be executed.

The system requirements are given clear enough to have a detailed breakdown of the project. The total duration of the project is 270 days which was the condition given by the RME management. The total structure is broken down into smaller fragments to make the work flow easy. Requirement analysis taking 50 days includes getting all the requirement, analyzing the current system and providing a proposal for the new system and sending for the approval taking into consideration the old system has lot of flaws which the new system will overcome. As multiple stores will be opened throughout Melbourne all these stores need to be linked with a centralized system. A new web-based system is to be integrated which will require specific set of people whose expertize will be utilized into this project.

Once the resource are a customized design is created and forwarded to the client based on the his feedback its further modified and the final draft is submitted. Development phase start as the approval is given hardware and software is chosen to meet the project demands.  Testing stage involves different scenarios where the system will be tested to make sure that there are no flaws in the system. This is handled with care as the project cannot afford to have flaws after the implementation. The staff recruited will be trained ion the new system to have a complete knowledge and understanding how the new system works.

6. System Information Requirement Investigation Techniques

There are various stakeholders involved in the whole system which are listed below,

Sl No

Stakeholder Name

Role

1

Director

Monitoring the project and initialization of the project

2

Operations manager

Ensuring supply of funds and resources

3

Contractors and Suppliers of “Repair Made Easy”

Delivering the resources

4

Senior Management of organization

Taking care of the operations within the organization

5

Employees of the organization

Completing the task to make goods and services and influence the organization to achieve its objectives.

6

Consumer

Helps run the business by purchasing goods and services.

7

Project Team

Develop and integrate new system for RME.

8

Functional Manager

Manages authority over an organizational unit.

9

Operations Management

Designing and controlling of production of goods and services over the project

We could gather information on what system should do from many sources:

•         Users

•         Reports

•         Forms

•         Procedures.

Few methods that we could follow are

  1. Questionnaire: By questioning the staff working into the organization who know how the system works inside and outside we could give us a better chance of eliminating issue in the system. This could be done using by interviewing individual or by taking a survey by giving assurance that their identity will be kept confidential.
  2.  Prototyping: Quickly converting requirements into a working model which will allow the user to see it before hand and give any suggestions if necessary. This models saves time and cost as once the user is satisfied with the prototype mode the project could be executed without any delays.
  3. Business Process reengineering (B.P.R)- Recognizing and eliminating unnecessary steps by making changes into the existing system so that it becomes more responsive to the  future change.

7. Reflections and Conclusions

The entire project was revolving around RME issues and how effectively to comprehend them. Though am satisfied with the development the employees require effective training to access the system and the management have to ensure proper utilization.

In attempting to provide a viable system and understanding intricacies of the system development the system has been developed with adequate tools. However, the maintenance of the system has to be ensured.
