It is an organisation being run to help and favour the elderly people, new migrant to find jobs, reduce communication barriers between the communities by teaching them communication skills.
I have a complete team full of skills that can perform their different duties to run the organisation smoothly. My team used various techniques such as SWOT analysis, BCG matrix, fish bone analysis, Giant chart etc. I used my experience and skills to complete my task and even I used my skills to help my team members whenever required at various steps to complete the tasks. I helped in raising some funds also for my team, various other sources were used to raise funds to meet our expenses. I personally helped with my suggestions to my team members to solve the problems on my experiences I had in past such as raising of funds, organising transportation, and I took myself initiative to find solution when ever my team was stuck on any issues. I would like to introduce that I have been assigned group number 3. My group includes 5 members including me. We all divided our task into small parts of duties to make it easy and convenient. My group members are Kulwindr kaur, Hardeep kaur, Jaskarn Singh, and Harpinder Singh. I worked on issues related to different cultures of communities. I have experience of different cultures of different states as I have lived in various parts of my country. I am aware of the behaviour of different people, their customs, some of their habits, their beliefs, festivals etc. My experience helped my team member's lot to complete this study.
Purpose of study
The applied management is to explore our skills and utilise them in managing a project or task assigned to us. I have decided to organise and manage an organisation that will help various community people.
The project is about, how to run a social and welfare organisation known as HOPE AND CHARITABLE TRUST. It's main objective is to help the society elders and new immigrant arrivals. The study was completed to form a charitable organisation. The main objectives of organisation are to favour the elderly people, help new migrant to find jobs, reduce communication barriers between the communities.
We are a complete team of 5 members including me with their different duties to run the organisation smoothly. We used various techniques such as SWOT analysis, BCG matrix, fish bone analysis, Giant chart, college tutorial notes and our experiences etc to complete this study.
I suggested my team to organise the fund from various sources to meet our expenses. Some of the services were rendered free of cost, voluntarily by our team members. The problems we faced while completing this project were studied and discussed with in our team and if required with other expertise also for getting good results. I expressed my views on my experience to find better solutions. I experienced that communication is greatest barrier that should be sorted out with in different communities and cultures of different people. It is about to make their life easy by teaching them the required level of English. Making them aware about how to communicate with other community people.

To carry on these activities my group of experts was assigned various duties to perform to reach our goal. We divided our duties in small parts such as from collecting data, contacting the people, gathering information about what will be their basic needs, managing the time, discussing between all of my team members about the problems, seeking suggestions on various topics and then reaching to conclusions etc.
Every team member's opinion was considered and listened thoroughly and then compared with other opinions to reach effective conclusions. Family members of the elderly people and youngsters were contacted to gain their consent and assure them that privacy will be maintained if required.
I suggested to invite various other trusts to participate so the social work for mankind can be carried easily and every one in society can benefit form it.
Hardeep and I approached local newspapers and requested to advertise the events we are carrying. Even other government and economical agencies were requested to provide some support to carry on our organisation activities and fund were raised form other sources. We also raised funds from various shows and stalls at our community places and shopping complexes. We worked as team and tried to help each other in completing their activities they were assigned.
Managing the project
I suggested forming a social organisation that can help our elderly people and youngsters to settle down in new environment after migration to this country. Every one was happy and considered seriously my suggestion and finally decided that we will work on this title.
We organised ourselves as group number 3 consisting of five members in our group as follow: -

The problem identification with rationale was scheduled by Kulwinder kaur. Harpinder Singh was scheduled to organise project plan included scope, resources and problem solving model to be used. Jaskanwar Singh was scheduled to research methods and Hardeep Kaur and my self (Narinder Kaur) did process the problems of culture, funds and transportation. I put my self ahead of all making my team members aware of my expertise and skills that I have gained in past in my home country while living at different places within different cultures of society. After we completed the initial process of deciding the organisation name and the team members who are going to work in it with their duties and responsibilities, we decided to discusses on topic about the problems we are going to face, findings, conclusions, recommendations. We had open discussion on every topic and reviewed the concepts if the changes were required. Then my team drafted the report for final open discussion to collectively confirm the topics and making of assignment.
Own Role as mentioned above I had very effective role in this assignment from gathering the information about different societies living in the area and about their culture up to managing the funds and transportation. My good knowledge around the area helped my team a lot in gathering the raw information about people habits, attitude, their needs like language barriers etc. this saved lot of time.
Our team worked in a group in our formed trust: Hope and Help charitable trust. It is at Papatoe-toe (south Auckland). I am working on culture. I went to other trust providing same facilities in Papatoe-toe; to see how I can preform and gain experience. I met their different kind of people coming from various parts of India. I took permission from the manager. He introduced me to various people while the coffee club was going. Another time when I went there the English class was going people were learning basic of communication and reading etc. Their I came to know that people differ with each other in various aspects like food, culture, ascent, language etc. the biggest difference I noticed was the difference between eastern and western culture that is the difference between Indian culture and New Zealand culture, that normally immigrant people face. Hardeep Kaur and I decided to work on the same topic of cultural difference in our Hope and help Charitable trust.

We decided to make people aware of the cultural difference and teach them about new culture. We decided to make them aware of how to adapt the new culture. After completing our task based on our experience we came to know that elderly people need more awareness on cultural and cultural activities of New Zealand. They suffer from language barriers and they really needed help.

My group number 3 consisting of 5 members named Narinder, Kulwinder, Hardeep, Jaskanwar, Harpinder had their individual roles to complete this assignment. The problem identification with rationale was scheduled to Kulwinder. Harpinder was scheduled project plan including scope, resources and problem solving models to be used. Jaskarn was scheduled research methods and process. The data collection and issues related to culture was assigned to me (Narinder). The rest of part 1 and part 2 was completed with Co-operation of all the members of the group. Regular meeting was held to find effective solutions.
25 August we did first meeting about swot analysis and giant charts after finish the class.
6 September our entire group member down their assignment part, which we have divided our group member that decision, we did at Hardeep kaur house and we did assignment part 1
11 October we again met at kulvinder kaur house to do identify the problem and we did talk about our charity which problem we faced.
18 October we discussed BCG matrix at my home.
20 October we had a meeting at our college and discussed the KPI (key performance indicator).
My other team members organised to collect data about the people who need these services. Working children of elder people were managed to understand that their parents feel home sick or they need to learn basic of the new culture, area and society. While they are at work their parents need attention. They were made aware of how their parents will benefit from the organisation. The elders were taught with slow and steady manner so that they can learn only what is required.
Different cultural people were invited at various events so that they can share their views and learn new thing that is most effective in learning technique. Some food stalls were set up at various events so that they could learn about various foods of other cultures. The elderly people were made aware of that it is their requirement to get some basic knowledge about the area they live in and the culture around their areas so that they can get easily adjusted with in new culture.
We got some translators who can volunteers come and help in making it easier to reduce the communication barriers. We used various strategies to carry on our jobs such as educate them and make them aware about the Hope and charitable trust. Teaching them English, about numeracy, currency, banking and how to communicate. Organise various workshops where they can sit and chat with young generation. Provide them driving lessons local ares. Making them aware how to deal with various government agencies
We tried to gain maximum support from family members of the elderly people and youngsters. We invited various other trusts to participate so the social work for mankind can be carried easily and every one in society can benefit form it. Even government was requested to provide some support to carry on our organisation activities and fund were raised form other sources. Were worked as team and tried to help each other in completing their activities they were assigned.
Apart my specific role I helped in various activities such as in over viewing the aim of our organisation and helping Kulwinder in doing so. Resolving the problem, which we used to discuss every day in our meetings, providing my views to find best solution. I managed time schedule. I looked into the transportation of elderly people and to provide them knowledge of local transportation, timings of buses and trains. I managed to organise their pick-ups from their home and drop them back. I tried to manage some of my volunteer friends who had cars or vans and can help my organisation. They used to provide free transportation to our clients.
While carrying on our duties we faced problems such as time management, funds, collection of data about the people who need these services. The difference in culture was a big barrier to complete this project as various immigrants specially elderly people lack English. Communication barriers between various ethnic groups made the job bit difficult. Different religious beliefs, different food taste etc are also various factors that made it more competitive. Lack of participation by people also made it bit hard to carry on our activities. Time was greatest factor effecting my team as we all had short time to complete this assignment.
Process of solutions
Our expert team members managed solution to various problems. Some of examples are such as the purpose of our organisation was managed by all of our team members. Group member scheduled the structure of our organisation. We all communicated in honest and open way so that the required result could be achieved. I encouraged my team members on their discussion and views they provided. This practise helped in monitoring each other activities and providing suggestions and building trust on each other. My team how so ever managed to complete this in scheduled time frame but still in future I would say that we have to be organised specifically with our time for better results.
My team member's decisions that I agreed to I supported my consent to various decisions of my team members about our clear motive, individual roles, open discussions, adhering and presenting collective ides to find better solution, reputation of establishment, time schedule, communication with each of our team members, supporting them. I agreed on using the experiences and skills of each other. We all agreed to follow some of the strategies while finishing the assignment. My team at some stages used following Strategies such as Swot Analysis and BCG matrix technique strategy was organised and studied and implemented by all of our team members. The problem resolving was discussed and solution found by all of us in our team, five step problem solving and team the proper time was rostered implemented the aim of trust so that everyone can come to take and give his or her lessons. We organised various stalls and events at various functions, shopping centres to raise funds to carry on our organisation activities and to provide various facilities to people. We used to have a brief meeting within all of our team members to run our day to day activities and to reach certain decision.
My mates and I worked differently to make the program easier for elderly people. We discussed on how to make them learn and understand the new cultural difference. I practically tried to arrange meeting with other elderly peoples of different culture. The get together were arranged such as small function or sitting together and chat and a cup of coffee or tea with some snacks. I personally recommended the practical teaching that is mixing of two or four people, sitting together and with help of interpreter discussing on food, culture, area knowledge etc.
It is the most important part of the assignment that helps in future. This recommendations can be used in further activates if required by groups. As I have mentioned above about the time management, we had to complete this in very short time span. This put lot of pressure on all of team members. The pressure of time frame being not enough to team resulted in confrontation at some stages. Though they were resolved ASAP. But still it matters if there is enough time and the plan is organised according to that.
This project being practical I would say that my team needed more time as we had to go out in local ares to collect the information's and then carry group discussion on that collected information to reach to certain objective. In future assignment I would rather prefer to be very organised and use some other techniques to solve the problems.
I would recommend to make prior appointment on phone with family members of the elderly people instead of knocking door to door, the one our team did this time. This result in saving more time by fixing prior appointments. While making appointment we can take their consent also for participation of their elderly parents. Which in this assignment had to do after contacting the elderly and needy people.
We had to go ahead with in various rules and regulations from government. Authenticity of trust was to be created in minds and hearts of people. Limited sources of funds. Cultural gap and different behaviours of ethnic groups are certain limitations. I would say we would have team of atleast 10 members that will divide our work and save time because this we had to be multitask being less in number. I would suggest going and attending a short workshop with any other similar organisation to increase our ability to perform. As we had many limitations during this task such as time, man power, information, and computer facilities.
The trust we formed seems to be beneficial to all of new immigrants especially the elderly who have nowhere to go and spend the time. We tried to create interest among them and their families to decrease the barrier of communication, loneliness, understanding of new culture, area knowledge and basic of about how to face the problems while they are new in the country. This is concluded that we learn respecting each other feelings, sharing life experiences. I learnt how to be organised with my team. I learned various arrangements for fund raising. This should be done before the start of project to meet the expenses.
