The method and hardware for recording new stock items

As for the online shop, we receive new stock form suppliers. There are ways of recording method and hardware for new stock items.

  • Use stock book which is the simplest way to go well with a small business with small stock. It can help user to keep a log of stock received and stock issued.

  • Stock Card is for more complex system which used card system. Each card contain

  • Description

  • Value

  • Location

  • Re-order level, Quantities and lead times

  • Supplier details

  • Information about past stock history

  • Coding is used to classified items. Coding indicates value of the stock, location of the stock and which batch is from.

  • Using RFID (Radio Frequency Identification Device) can help recording stock which is the most popular in nowadays. RFID allows a business to identify individual products and components, and to track them throughout the supply chain from production to point-of-sale.

  • Using UPC (Universal Product Code) Barcode. Barcode contain a unique identifying number that can be read by a machine scanning a series of printed bars of different thickness. They are not just used on retail goods, but are in the system and warehouses and retailers to mange stock levels.

  • Deliver by local post office

  • Partnership with Delivery Company

Order from customer

Customer would be order when they want items form websites. Most website used basket method for request items. When customers want items they have to give their user id and password or if they are not registered member they have to register. The methods and hardware for recording items dispatched

When items have been order they have to deliver to destination. There are methods for delivering that used many online service companies. Once the items are delivering, it has to record the item dispatch. There are some methods for recording items dispatched. Dispatched items can be mark in computer database and by manual stock book or use some software to mark dispatched items. Computer database method is just save when the items are dispatched, who bought what items, day and date of the started dispatched, the destination of each items, expected receive date, actual receive date and name who is responsible for that processing. Both of data saved in Computer database or stock book are the same. They just differ by Computer and manual.

The process for determining and flagging up stock reorders level

Online shop would be process daily. So the items reach its reorder level frequently. Recent year it used manually for check up the stock and when they need to reorder it make reorder to suppliers. But today, technologies are so modernized that most shop used some software to tell reorder level. And so far, vendor can be use automatic reorder level like Automatic order Algorithm (AOA), Auto generates order and flexible reorder calculation or Automatic Reordering. That software helps vendor to make auto reorder when it reaches the limit of reorder.

There is some method that helps vendor about reorder level.

  • Fixed reorder stock level (reorder stock before its reaches lowest level of stock that can stand)

  • Fixed time reordering (vendors reorder at fixed time e.g. weekly or monthly)

  • Economic order quantity (vendor balance between cost of holding stock in warehouse and ordering stock. It helps vendor to reduce vendor’s cost and maximize profit )

  • Just in-time production (keep stock to totally minimum and only reorder when required )

Type of Network topology

Star

Star topology with a central node of a point to a link in a hub. All nodes are linked by a dedicate connection to the central node. All user nodes are connected via a dedicated link to the central server node. If a node other than the server fails all other routes are still available. If the server fails the whole network fails.

Advantages: It also achieves an isolation of each device in the network.

Disadvantages: If the hub or a lack of concentration, the nodes are disabled.

Ring

The type of network topology in which each of the nodes of the network is connected to two other nodes in the network and with the first and last nodes being connected to each other, forming a ring – all data that is transmitted between nodes in the network travels from one node to the next node in a circular manner and the data generally flows in a single direction only.

Advantages: Travel of data at high speed

Disadvantages: The failure of the single node of network can cause entire network to fail.

Mesh

The value of fully meshed networks is proportional to the exponent of the number of subscribers, assuming that communicating groups of any two endpoints, up to and including all the endpoints, is approximated by Reed's Law.

Advantages: Even the send data is broken the data can reach its destination by taking other route.

Disadvantage: Different to search to the error. The inputted data can broke down on the route when it’s reached its destination.

Type of Media

Coaxial cable

Coaxial cable is an electrical cable with an inner conductor surrounded by a tubular insulating layer typically of a flexible material with a high dielectric constant, all of which are surrounded by a conductive layer, and finally covered with a thin insulating layer on the outside. The term coaxial comes from the inner conductor and the outer shield sharing the same geometric axis. Coaxial cable is used as a transmission line for radio frequency signals, in applications such as connecting radio transmitters and receivers with their antennas, computer network (Internet) connections, and distributing cable television signals.

Advantage: One advantage of coax over other types of transmission line is that in an ideal coaxial cable the electromagnetic field carrying the signal exists only in the space between the inner and outer conductors.

Disadvantage: One disadvantage of coax is so expensive.

Fiber Optic Cable

Fiber Optic Cable is a glass or plastic fiber that carries light along its length. Fiber optics is the overlap of applied science and engineering concerned with the design and application of optical fibers.

Advantages: Optical fibers are widely used in fiber-optic communications, which permits transmission over longer distances and at higher bandwidths than other forms of communications.

Disadvantage: Disadvantage of Optical fibers is so expensive and difficult to install

Unshielded twisted pair (UTP)

UTP cable is also the most common cable used in computer networking. Ethernet, the most common data networking standard, utilizes UTP cables. Twisted pair cabling is often used in data networks for short and medium length connections because of its relatively lower costs

Advantages: advantage of UTP cable is easy to install.

Disadvantages: disadvantage of UTP cable is susceptible to interference; can cover only a limited distance.

Recommendation

In our amazing book shop, I would like to use Star topology with Fiber optic cable using in local area network. By using star topology, it achieves an isolation of each device in the network. As star topology is control by centralized network, so it can be more easy control to workstation computer. Using star topology it can easy to install to use and it also easy to detect and remove parts and transmitted data will not pass to unnecessary part. For fiber optic cable it can be used widely, can travel data in long distance, rate of speed is much higher than other cable, as it is used light technique it can stand electronic magnetic wave. For the above I chose that type of network for our amazing book shop.

Way of access for stock control system in my website

For the stock control of our website, we save all of our data in our sever computer. If the customer buy products from our website, stock form server computer will reduce and auto update. All of the records are control by server using above topology. The server computer will update the stock in stock out system.

Task-4

When customers buy products form online shop, they deliver the items.

For delivering the products, there are 3 ways.

  • Delivery can be done by staff of the site

  • Delivery can be make via post Office and

  • Book shop will link to the third party of the delivery company.

Online shop does not have many staffs. So they cannot use their staff for delivery. By using post office, they have to deliver the parcel to Post office. But it is not a perfect delivery system, as it cannot trace the route of the delivery, so our customers cannot know where their products are, and the site cannot guarantee when the products will be in customer’s hand.

So, some online shop link to the delivery company and that delivery company will sent items to their customer. There are many delivery companies. TNT N.V., through its two divisions, Express and Post, is part of the global transportation and distribution industry, and dedicated to providing delivery solutions to its customers. The global transportation and distribution business is a vast industry which is estimated to be worth over US$3,500 billion. TNT serves more than 200 countries and employs around 163,000 people. TNT has a long and interesting history spanning more than 250 years. Their Dutch roots can be traced back to 1752. But it wasn’t until 1946 that the company known as TNT was born, on the other side of the world, in Australia. In the 60 years since then, TNT has grown into a global enterprise, even operating its own aircraft. Much of this growth has come from take-over and acquisitions. In TNT, it has 2 types of delivery Express and post. TNT express is for all of customer express delivery requirements. TNT Express employs over 75,000 people. They operate 26,000 road vehicles and 47 jet freighter aircraft. Their worldwide network has over 2,300 company owned depots and they operate in 200 countries. TNT post offers customers a comprehensive range of mail products and services. In 2008 and 2007, TNT was leader in transportation category but also in the Goods and Services super-sector, and we had the highest score of all participating companies. TNT scored 92 points out of a possible 100. They achieved 'best-in-class' in 11 out of 17 criteria.

Recommendation

For these reason, our Amazing Website will be make partnership to the delivery company as third party. The delivery company will be delivering our products to our customers as third party. Although there are many Delivery Company for us to choose, but we did not see as perfect delivery company as TNT. For our Amazing Book shop, we make partnership to TNT Delivery Company. When the customers paid, we contact to the TNT Company and it will come to our company to take parcels and they deliver the products to our customers. So, TNT has 2 way to communicate with our Amazing book shop, first they come to our shop and take products, then they have to sent them to our customers. . If customer wants to know the track of their goods they can log in to our site and look by Invoice ID. So they can know where their products are. For the update of track, the staff the Amazing book shop will check the TNT website and upload them to our site. If the products are lost or damage on the way, it is the responsibility of TNT. TNT must be take action to please our customers.

Requirements for delivering products for Amazing Book Shop

  • Computer

  • Internet Connection

  • Phone

  • Printer

  • Window 2003 Server for server computer

  • Window XP Professional for client computer

Task-5

Our Amazing book shop is an online bookshop. Our shop sells books via Internet. Our stocks are stored in warehouse. For security of our warehouse, we can use people staff or computerized system for stock. There are ways to prevents or reduce those criminals. There may be 2 types of theft, theft who is from outside of the organization or theft who is employee of the company. Both of them can be stole items from warehouse, stole money, can be hack confidential data, customer’s bank account, and information that our competitor required.

The prevention of outsider theft

They are from outside of the organization.

  • Can be use RFID (Radio Frequency Identification tag), which can give alarm if unauthorized person move it to other location.

  • That theft may be stealing in groups – some providing a distraction while others take goods. Has to teach staff to be alert and to recognized behavior like that.

  • After delivering products, make sure all the goods are in securely saved and record them.

  • Do no leaving boxes in view, because it can attract thieves to steal them.

  • Make sure stock take is done by regularly.

  • Can be use video camera system in warehouse and car park.

  • Management level of the company should read Crime Prevention tips for business at Crime Reduction Website.

The prevention of employee theft

They are employee who are work in the company.

  • Should be placed security guard at doorway to company.

  • Employee should have own ID and card which can be pass through entrance gate.

  • Use password to every access to computer system.

  • Password has to change daily if data are confidential data.

  • Instruct staff to know about safekeeping system and punitive if they disobey on terms and policies of Company.

  • Check in and out of Warehouse and Control room.

  • Warehouse staff should be changed frequently.

Recommendation

The prevention of theft

  • Use CCTV (Closed Circuit Television) on entrance of warehouse.

  • Use RFID tag on stocks.

  • Set ID card and Password on warehouse.

  • 24 hours control room to check the stock in and out manually.

  • Clear up packaging after delivery.

  • Change stock control staff regularly.

  • Use asset marking methods tested to LPS1224 (for databases) and LPS1225 (for asset marking devices).

  • Protect computers, laptops, DVD/AV equipment in security enclosures tested to LPS1214.

  • Check deliveries has delivery notes.

The monitoring of staff

  • Use auditing to monitor access to files

  • Examine cached Web files

  • Monitor Web access at the firewall

  • Filter Web access by URL

  • Filter Web access by keywords

  • Monitor incoming and outgoing e-mail messages

  • Monitor instant messages (IMs)

  • Use key loggers to capture typed data

  • Use screen capture tools to find out what users are doing

  • Control what software employees can install or run

Adjusting stock levels when theft occurs

Stocks from the warehouse are tag by RFID. If the containers deliver books to our warehouse, RFID reader will automatically check the how many books per box. If the books are equal with the invoice that already purchased by Amazing book shop, there will be no problem. But if the deliver books quantity is not equal with the invoice, the store has to make some action. Amazing site store them in one place and tag with not balance stock. There may be human error of supplier mix with other book shop. If like that, our amazing book shop will tell supplier that they sent the wrong stock so, there is no problem. The other risk is that our stock are stole by theft. If our stock are stole by theft, we have to solve the problem. First, we hold the items to hold list and told about that to supplier’s company. Second, we trace the route that our products are delivering. And make sure that our products are stolen or not. If our products are just delay on the way, it is not a problem. If it is true that our products are stolen, then we told the police department that our stocks are stolen. For customer we announced that we are lack of our stock that our supplier’s and we are lost in contact.
