Work breakdown structure is the starting point for the scope planning. Work breakdown structure defined and articulates the actual scope of the project. 9 Conflict Management Plan:

Success of this project highly depends on identification of the conflicts and their resolution. If left unresolved conflicts can be damaging for the project and the project might not finish on time. It is important to confront the conflicts on time to avoid any possible serious damage to the project. The most important conflict in our project is schedule conflicts. Schedule conflicts can possibly stem for any lapse in time management and task distribution. If for some reason a deadline is not met or there is a slight change in the schedule, it will result in a conflict between us and our stakeholders. This conflict will increase the pressure to meet the deadlines meaning we will need to do more work in lesser time or hire more help or outsource some work. This in turn will result in a conflict between the project team and project manager. Also the possible budgetary changes because of hiring will again create a conflict between the project managers and the stakeholders. To resolve the possible conflicts from schedule pressures proper communication will be ensured. Also we will have team motivation and conflict resolution sessions in which team will learn to stay motivated in high pressure situations and give their best to the project schedule. Other than that monetary benefits and bonuses will be offered if the schedule is on the verge of slipping, so that the team gives extra hours and works harder to meet the deadlines. Also, schedule management techniques like fast tracking and crashing will be employed if no other solution works and the project is not on schedule.

One of the possible sources of conflict for this project can be failure in proper and timely communication. Conflicts can result because of failure in planning communication, reporting the performance, information distribution and managing communication with all the stakeholders. If the information is not distributed on time or to the right person, it will result in a conflict. Such conflicts will be resolved by taking timely action and providing the required information to the right person and clarify the issue.

10 Procurement Management Plan:

Procurement Management Plan will outline the lay out for procurement for this project. It will be used as a standard for procurement for the project and will be updated frequently to accommodate any changes in the acquisition requirements. This plan categorizes the items that need to be procured along with identifying the type of contract and the process of approving the contract.

Type of Contract:

We will be using fixed price contracts for this project. The products and services for construction, office equipment and IT equipment that need to be procured for the successful completion of this project will be contracted under the terms of firm-fixed price contracts. The project team in collaboration with the procurement department will identify the types of items, services, quantities and the deadlines for delivery. After that the procurement department will issue the request for proposals and bids from numerous vendors and accept bidding from the best suited vendor to complete the procurement process on the required time and at the predefined cost.

Contract Approval Process:

Firstly, we need to identify the services or items that need to be procured from outside vendor. Then a cost analysis and comparison will be carried. After this step the procurement department will send out request for proposals to the external vendors. The vendors will answer with their bidding document. For the approval of one bid out of many, a review of these bidding documents is carried out to identify the bids that meet our criteria. The bid that satisfies our requirements at our stated price will be approved.

Decision Criteria:

The decision criterion for reviewing and selection of the bidding documents is as follows:

Quality of the services and items delivered

Cost of the services and items provided

When can the vendor deliver?

Past performance and experiences.

Project manager along with the procurement department will evaluate the bidding documents on the above mentioned criteria.

13 Team Management Plan:

To complete this project on time, effective team management is necessary. Project manager will play a key role in team management. Team management is a gigantic task. Project manager will achieve this task by encouraging communication and cooperation between the team members and create an environment of trust.

Project manager will act as a facilitator and a guide. Project manager will fully empower the members of the team, under the conditions that they need to inform him of all the decisions made. Everyone will be held accountable for their work, to avoid any blame games. Also, while delegating work to each team member, project manager will consider their personal interests.

Project manager will help each team member in identifying their weaknesses and suggest appropriate measures to overcome those weaknesses. The performance on each member will be evaluated each week and incentives will be given to high performers. Effective and timely communication and information sharing will be ensured. Any one can access the information related to the project at any time.

Also, to create a friendly environment and minimize the risk of team conflicts regular meeting will be held. The work area will be laid out in such a way that all the team members work in the same room in close proximity to each other to promote friendliness.

Along with effective team management, motivation is necessary for the success of the project. Recognition and rewards will be used for motivation. For project team members that are working overtime to meet a deadline, paid vacation days are granted. If the entire team work together to meet the project deadline within budget cash bonus, may be awarded.

PM will also use positive reinforcement to motivate team members to produce great results. PM will also have an open-door policy where he/she makes him/herself available to assist team members with any issues that may arise.
