This project intend to solve the issue of Teachers in the Islamic Education go through anytime they are due for promotion. Teachers will have to fill a personal record form for the Unit to fix into the teacher folder at the Unit's office. The project will give teachers the chance to update their records via the internet on a website created for the Unit.
The project also would aid Officers of the Islamic Education Unit, have a firsthand statistics of all teachers, be able to have report summary on for example number of female teachers, teachers with degree, number of years served, teachers information. It would also allow officers to add, delete, and update teachers' records. This would reduce the number of paper work at the Office and also lost of letters from the office.
The project would create a link for officers at the Unit to also have their record loaded onto the system. News or announcement would be made available to teacher on the website.
The student has completed an initial research work on the personal record form teachers fill. Visits to the Islamic Education Unit reveal that records of teachers are entered into a spread sheet using Microsoft Excel. The project proposal has also been completed.
I have send a letter to the Islamic Education Unit and made a follow up which I am inform that they indeed need such a system by due to financial constraints they are not able to undertake this project. I am expecting an official letter from the Unit.
By the end of the project, the following objectives would be achieved:
Create a dynamic management website for the Islamic Education Unit (IEU)
Teachers of the Islamic Education Unit would be able to access inform, update their records and read messages on the website.
Officers at the Islamic Education Unit would be able to query the system for reports on teachers.
Officers would be able upload announcement and new to the website
The student would be able to use Macromedia Flash software to create animation on website.
The student would able to use PHP in dynamic web site.
The student would able bend MySQL with PHP Language in creating dynamic web base software.
The student would be able to run the project with both the Waterfall and V model methodology.
This project is a result from my experience with the Education Unit I have been teaching for the past seven years. Officers would send letters around schools, wanting to know teachers in the school, number of teacher who had left the Unit, number of teacher qualified for promotion and asking teachers to fill their personal record form for promotion or study leave. For these reason the student felt there is need to design a system which would address these concerns. The student realizes the nature of schools under the Unit is not in one location, so with standalone software it would not solve these problems so the need for web base management software.
This project would aid the student gain a better understanding of database management systems. To this the system would rely on basically on a database and various queries sent for different reports. The student would depend much on his knowledge in Advanced Database Management System studied. Since the student is dealing with an organization, there is the need to put the company's views at heart and come out with a system which would be acceptable to the organization. This would be highly possible with the knowledge acquired in both Systems Engineering Management and Corporate Communications Systems Management module of this course. This includes project estimation, cost and scheduling of the activities in the project, which the student has acquire during Systems Engineering Management.
This project is a test case for the student to launch this software into the Ghanaian Educational Cycle, that is to targeting the other units in the Country and creating tailor made management systems for companies in Ghana. The student intend to include a section for schools to include their records under the unit which manage them.
Scope and Technical Challenges
The project is based on managing information of teachers and administrators of IEU. These are concerns raised in the background of this document and as such they are expectation to meet. I have classify the expectation under expect and not expect from the project in the table below.

The software is not expected to be used as a standalone.
This project is not expected to train staff of the unit on the use of the software.
The software is not expected to keep records of schools.
The Islamic Education Unit has no website for which the student would have just blend his software with the existing website. The student would have to design a website for the Unit. The Unit would be consulted for specific requirement. This would call for designing and reviews of the interface. The student would have to review the entire system of IEU and come up with a system design which would fit into their requirement.
The management software is an electronic version of the form teachers fills their information. But it has various section for which it would be a challenge in coming out with a database to accommodate this sections of the form. The challenge of designing an appealing web site to both the teachers and the officers would have to be addressed. The student is working under no financial return from IEU and as such all information would be made available but photocopies and scanning of pictures and document for the website and reports would be the student problem.
The student alongside undertaking this project would learn these software to be used in the project; Macromedia Flash and PHP language. This is challenge the student would have to overcome.
This project is expected to produce three document; an initial document given the proposal of the project which include the proposed title, background, objectives, justification of undertaken the project, scope and technical challenges, deliverables and timing for the project. The second document would be an interim report of the project indicating the various milestones cover as stated in the timing of the project. The final document would be the final report of the project stating the all input and output of the project in a text form.
The project is also expected to produce a workable web base manage system for the IEU, which will for all requirement to be fulfilled. This would include a web interface with links, for login and having access to management information if you login as an administrator and you would have access to your information as teacher when you login.
A database to support information of both the staff of IEU and teacher under IEU would be created to help users send queries for various reports
The student intends to cover the project using the waterfall model partly and the V model. These two models would be bended to work on the project. The initial document stage follows the waterfall model, while during the design stage and the coding stage would be run alongside each other and the V model would be used in this stage.
Using only waterfall model means the student would have to wait to finish the entire interface design before beginning with database design but the V model allows for this. The incremental would not be useful to the student since the project is not to submit with phases of sub system. Likewise the Spiral model the student is working within a time frame and since a stage would require a spiral turn and the more the spiral the higher the cost and time. This model would not work for the project.
The student started this project on 14th March 2010 and it is expected to be completed on 20th November 2010. The month of December is a float for any risk that may arise in the project duration given, so that the student can use the four (4) to cover up and complete the project without any excuses.
The activities are classified into three major milestones of; initial project, interim project and final project. These milestones are put into a table form for clarity and evaluation purposes.

Brief information about IEU
Islamic Education Unit was founded twenty-one (21) years ago to manage schools (both primary and secondary) which run both Islamic and circular courses. The project is limited to the Greater region in Ghana. There are thirty (30) schools under the control of the Unit. On an average each school has eight teachers. IEU would be used to refer to Islamic Education Unit in the course of this project.
There are fifteen administrators in the office of IEU who manage the welfare of about two hundred and sixty (260) teachers.
