To fulfill the stated requirements and the limited time to develop the system, this project will adopt Dynamic System Development Method (DSDM). By using DSDM, it's quickly and effectively methodology in agile software development.

Aims

The main aim of this project is to develop an internet portal for the software development company to provide online services for end user.

In order to promote the products and services to potential customers, a web-based internet portal is proposed. Guests or customers can register a user account to get the information they need, or enquiry for the products information and functions.

Moreover, customers can download the software update and patch, a discussion board will be develop for the customers to exchange their experiences and problems. And also the products news page shows the popular products and its' functionality. In the technical support page will shows the frequently asked questions and the best business solutions (as known as consulting services).

A web server will be hosted by "E-Solutions" dedicated for internet portal to introduce the enterprise software products and communicate with customers etc...... In addition, "E-Solution" servicing in different industries, including manufacturing, hospitality, government, logistics, sales, R & B and more.

"E-Solutions" decided to develop a web portal dealing with existing customers and guests, and it's a new established software company so they haven't the website now and they also need an integrated system for customer services and products introduction. My department head asked me for this system development project and the director need detailed system development documentation about this project. Therefore, my boss also assigned two more colleagues to help me in this project to reduce my workload.

Project initialization

Our customers also complaint "E-Solutions" still no official website to download patch and software version update. Moreover, some customer updated to the new released of Windows 8 cannot run the program and got some system bugs, it's is directly affecting their business. For this issue, company director known the existing problems and want to implement a new system immediately.

In the new system, we have preliminary gathered some user requirements that the system what core functions will be developed. Guests can visit our home page to get the products information, such as prices and their features, they also able to view the solutions for their business and leave a message to staff asking for any inquiry. In addition, guests and existing customers can register a user account to logon to the system to access more information about the company, for example, buy our system and make an appointment to onsite installation. The main functions of the system are able to publish the new software version and release patches for customer download.

Literature Review

Introduction

Enterprise portals are very common in the internet. Many well design portals such as Microsoft.com and Oracle.com are available on internet; there are many advantages worth considering improving quality and usability. Moreover, in this section covered the tools and technologies such as programming language and database system in this system development.

Web-interface Database System

The web database system that includes server and client interactions, clients request the website contents through the web browser, web server return and interpreted the data to the clients, most of the e-commerce websites nowadays are using this kind of model. Clients can use any device that connected to the internet with web browser, they can access any information anytime without geographical restrictions, and there are some benefits by using web-interface database system:

Server side Technology

The web applications development is used Java Server Page (JSP), it is released by Sun Microsystems, it's bring out a lot of benefits to the developers such as free to use and supported by a very large user community. Moreover, The Microsoft Active Server Page (ASP) and PHP is very similar to the JSP, they both are the server side technology, but only the programming language is different, they are designed for produce dynamic web pages with a database system.

Database Management System

The database management system (DBMS) is used MySQL server, it's an open source software free to use and still continuous development by the official community, also its support many programming languages such as PHP, Perl, Python, Ruby, Java, .Net, C# and Visual Basic. Moreover, it's supported with many operating systems such as Microsoft Windows, Linux, Solaris, IBM AIX and Apple Mac OS. By using MySQL server provides many powerful features, its advantages can compares with other enterprise database management software. In addition, it's provides the GUI add-on to the users, it's called MySQL Workbench; this is the reason why I am choosing MySQL Server in this system development.

Chapter 3

Feasibility Report

Introduction

"E-Solutions" is a new established software development company; it's providing business solutions to many different industries in Hong Kong. The existing two workstations are shared to all staff in the company without centralize database for storage, such as customers record and sales record. The currently records just save into Microsoft Excel format and saved in different workstation. For this purpose, many staff complains they need consumed lot of time for searching information and update; the files have missing or corrupt before. As a result, the really need a centralize system for storage company records, all staff can access in same time to increase the efficiency. Moreover, there are two ERP and CRM software released in the past few months, customers request some patch update to fix some system bugs, but there are no channels to publish the resources to customer, so that it is very urgent to implementation of the "E-Solutions" enterprise portal to solve this problem.

In view of this problem, the director held a number of meetings to find out some solutions, many staffs are support to develop a new system to publish resources to customers and deal with any administrative task. For the company long term development, the new system is all pluses no minuses.

This project of enterprise portal system development by "E-Solutions" internal web design team, it is a database-driven website designed for internal administration and online customer services. The internal system staffs can accesses all resources in a centralize storage and also they can add, update or delete customer information, publish company news, uploading new release software and patches, update products information and provides the technical and solutions for the potential customer. Moreover, administrator also can login to the back-end management system to update all the records such as lock any users account, reply user enquires, all the records stored into a centralize system for easy query and management.

In addition, this system also provides a message board for guests or register customers and users to leave the messages about the products and services, such as the one-off installation fees or the products quotation. On the other hand, in the technical support center provides software update, patches and tools download is for register customers to accesses these resources, and also the FAQs center, user can query about the problems question and answer. In the user center of the system, user can login to the system for change their account information, such as login password or any contact information; the solutions center provides the best business for the customer such as which system is suitable for their company.

The new system will use Microsoft Windows platform hosting the server side, choose of using Microsoft Windows platform because most user familiar with the friendly GUI and it is a reliable operation system. The DBMS will use MySQL Server to storage system records and install Apache Tomcat as a Web server because Apache Tomcat and MySQL Server both power and open source no need buy any software licenses to use.

Finally, the system will use JSP as the programming language, JSP is a server side processing technology, after server interpreted the user requests, and then return the results and displayed in the user browser, JSP run with HTML, so user just only using a web browser and they can access to the system anytime and anywhere.

Economic Feasibility

Economic feasibility used to evaluate benefits and it's as known as cost-effectiveness analysis. The new system development cost is lower because just a website including a database, if the project failure the lost is just a little bit, so it is no risk in the economic issue, and also the whole project is controlled by internal web design team, it's easy to management. On the other hand, the hardware is another factor in economic feasibility, the cost of hardware cannot be save, you pay for the higher price, you can get the better quality, vice versa.

In addition, the system also bring out a lot of benefits such as running in non-business hours to provides customer services to user and the products can be promote through internet to reduce the advertising cost, internet business also deliver unlimited business opportunities, you difficult to measure the actual of the benefits and advantages from the new system, it is only know the new system is bring out many advantages.

In the schedule feasibility is to analysis the factors in this system develop period how to avoid its failure, a detailed project planning including in the project proposal, the estimated develop time about 2 months, in the limited of time to successful to complete whole project, a good project plan is very important to avoid takes longer time to complete. In addition, developers can follow the established timeline to fulfill the progress. By follow the schedule, the rates of project failure is reduce and forced to deliver the specify progress.

Operational Feasibility

Operational feasibility is to investigate how a new system to solve the problems. In the initial in the project start, the existing customer really needs a platform to get some services or support, but the company no such system deal with customer services or management customer's information. As a result, including customers or company staffs, they desire the new system to solve the existing problems, the purposed system functions will be based on user requirements.

On the other hand, company portal is very popular in the internet, company website integrated with customer services; the advantages are easier to management customer's information by administrator.

The independent database system is separate two database which for internal staff accessed by intranet. After the comparison of two plans both are similar, but the plan X is higher cost and plan Y is lower cost. Moreover, plan Y let staff can cross over to query both intranet and internet record easily, and plan X is vice versa. Both system can further development in the future such as internet purchase the products, but the security issue is hard to guarantee the payment is secure, so this need a lot of time for study and solve this problem. By using the centralized database system, user account login to the system can set the privileged level for access resources; it makes convenience for the staff can cross over to query internet and intranet database records. The new system also can reduce the staff workload and increase productivity, for the company long term development is an advantage. Finally, the suggestion in plan Y is the best solution for the development in the enterprise portal.

Chapter 4

Critical Analysis on Existing System

Current System Overview

No internet portal for customer

Customers always complaint about our products need to release some patches or software update to fix the bugs and publish in website or ftp. After our products released, it was found the software update is needed, and in the existing problem is no platform to announce any news or resources download for customer.

No centralize database for staff

Currently, internal staffs still no any database to store the sales records and customer records, such records just saved into two workstations as a file server to share with all staffs. And also, the records just saved in Microsoft Excel or Word format, it is not designed for multi user real time process, staffs cannot access and amend in a file of same time, but if they can complete the operation, sometime they report some files have corrupted and failed to fix.

Hardware Environment

In the company, currently does not have a system help for administration, all the records just entered into the Microsoft Excel or Word format and saved to two file servers, all staffs have their personal computer for operations, but by the company policy that staffs are strictly prohibited to store any sensitive company information such as customer information or sales information into personal computer, so the company's information stored in two shared file server only. As a result, staffs report the problem to their department head, but they cannot got any solution to solve this problem.

Current System Problem

Information scattered and non-centralized

As mentioned the company records stored into two different file server, no specify staff to sort out the categories which type of data store in which file server. This is a problem staff also very difficult to search their information, and need consume a lot of time in playing "hide and seek".

Lack of Internet connection of computer

By the company policy, general staff computer cannot access to the internet, only the department heads have the right of the internet access because this action can avoid the company sensitive data leakage. For this action, company provided four computers that they connected to the internet, but the all general staff to shared four computers to daily operation, they also complaints about failed to book for use the four computers to do their job in whole day, and sometime they need over time work to complete their job.

Loss of data consistency

The missing data also occurred in company, there are no standard guideline to the staff, which kind of file store to which file server. They also access to file server A and saved a copy to file server B, between two file servers is not synchronize. Some staffs accessed to the old file and saved the newest data onto it, the critical problem is here.

Environmental pollution

The staffs always over time working indirect consequence to environmental pollution because over used the electrical and air conditioner caused light pollution and air pollution. Ozonosphere is slowly erode because human activities such as nitrous oxide emissions.

Requirement Analysis

Introduction

In the stage of the requirement analysis is to identify what is the functions are the system included, there are two section to investigate on the system requirements and they are functional requirement and non-functional requirement. The functional requirement is the basic functions that meet the target user needs. Besides, the non-functional requirement is the estimated the extra functions that is not essential to develop, in most case of the software project, if the time is allow, non-functional requirement may develop for the user.

Project Assumptions

The project assumptions below is to ensure the system implementation smoothly and successful and these rules should be fulfilled, the project plan schedule developed and just follow the time table to deliverables any task. Any changes of below rules may cause the project failure, so we need to very carefully to meets all the requirements below.

Scope of the System

The scope of the system can let all guests and customers access our company information through internet at any time. All these information can directly access through the web browser. Therefore, information will become easy to management and staff can maintain very effectively. The main functions must developed are user login, products information, technical support center, FAQs zone and message board.

The goal of the project in the enterprise portal is design a back end system for the staff and administrator to operate customer services online, this can reduce the human resources of deal with customers and to enhance the efficiency and production. The main functions for the staff must developed are disable user account, add, change, or delete the products details, answer the question in the message board and handle any other customer enquires in the system.

Budget and Resources

In the whole project of the system development, the department head keep track the project progress and ensure any development stages meet the development schedule. In addition, in the requirements analysis stage will collects the fact findings and functional requirements and non-functional requirements from the staffs and customers. However, after the prototype is ready, the acceptance test and user training will provides for the user, director responsibility to monitoring and controls the project budget, if over the limited budget, director need to give any advice for the development team and approves for the extra budget. The feasibility report stated the estimated budget and the proposed hardware solutions.
