I am a student attending the International Advanced Diploma in Computer Studies (IADCS) course in KMD. In that course, there are two terms. In first term, we have to study three subjects: System Analysis & Design (SAD), Enterprise Networking (EN) and Advanced Java. In second term, there are altogether three subjects: (DDD), (MBP) and Advanced VB.Net. In addition, we also need to do our own project. This assignment is for SAD subject. The assignment is about a new DVD store and it has six tasks to do.

In Task-1, we have to create a process model for the DVD loans system. Firstly, we have to create a context diagram of the DVD loans system. After that, we have to mention a statement of the aims and objectives of that system. Then, we need to create the data flow diagram including process description, dataflow description, data store contents and external entity definitions.

In Task-2, we are required to create a data model detailing the data structure needed to support the information and process requirements of the DVD loans system. In that task-2, the following should be included.

An Entity Relationship Diagram for the system.

Entity descriptions for all entities in the diagram.

Appropriate attributes for all entities including primary and foreign keys.

Relationships detailing optionality and degree of relationships between entities.

Task-3 is a bit easy. I think. In that task, we only need to create an Entity Life History for a DVD.

In Task-4, we have to create a database design for the DVD loans system. A set of fully normalized tables showing the normalization process for each and data dictionary entries for all items included in the database design should be comprised in this task.

In Task-5, we need to create screen designs for searching a DVD for loan, processing and registration a new customer.

In the last task, Task-6, we are required to create a comprehensive, professional standard design for the DVD store. In this task, we necessitate to do a report including the details of Tasks-1 to Task-5 and also the details of the site preparation for the installation of the system plus details of the hardware to be installed.

I wish to present the aims and objectives of this assignment. We have to do this assignment because of the following reasons. There're many reasons why the system need to change from the manual to the computerized system. In manual, the data can be lost easily, the calculation of cost cannot be reliable, and there'll be cost a lot than the computerized system. In computerized system, the data cannot be destroyed easily, the calculation of cost can be reliable, we can search, update and delete the information without difficulty, and it will save both time and money.

PROCESS DESCRIPTIONS

Registration Process

In this process, the customer will enquiry the information to become a new member. So, the shop assistant gives the required information to that customer. The customer requests member form as he or she has to fill the member form to become a member. Then, the shop assistant gives member form. The customer fills the member form and gives it back with member fees. Then, the customer gets the member card gave by shop assistant.

Borrow & reserve Process

In this stage, the member is allowed to loan DVDs. To borrow the DVDs, the member needs to search first. He or she can search the DVDs by keyword, title, director and category. After that, the shop assistant will reply that the DVDs he wants is available or not. If available, the member will borrow and if isn't available, he will reserve unavailable DVDs. The shop assistant has to make sure that the DVDs he borrowed must be less than or equal 5 DVDs and also need to check that the person who is borrowing the DVDs is the member or not.

Return Process

In this step, the member has to give member card when returning the DVDs. Then, the shop assistant will verify that the DVDs borrowed are damaged, overdue or not. If damaged or overdue, the shop assistant will request fine. In this case, the member is required to give fine with member card.

Order Process

In this process, the manager in DVD store order new DVD from the supplier. So, the supplier, the distribution company gives the ordered DVDs to the manager of the DVD store. Then, they made payment.

Sales Process

In this stage, the manager of DVD store will choose order DVDs and sell them with the discount to the customer who which to buy. After that, they made payment.

DATA FLOW DESCRIPTIONS

Enquiry for new member information

The customer comes to the library and enquiry the information how to become a new member.

Give information

The shop assistant in DVD will give details of member information and requirements to become a member to the customer.

Request member form

After the customer knew the requirements and facts of how to become a new member, he request member form to fill details.

Give blank member form

The shop assistant gives member blank form to the customer.

Give complete member form and member fees

After the member filling the blank member form, he gives it back to shop assistant for registration and he also gives the member fees.

Give member card

Once the customer's finished registration, the shop assistant will give member card.

Choose older DVDs and sold

The manager selects the older DVDs and sells with discount to the customers who wish to buy.

Make payment

The customer and manager make payment for the DVD sales process.

Order DVD

The manager in the DVD store orders new DVDs from the supplier.

Give new DVD

The supplier gives the ordered DVDs to the manager store.

Search catalogue

The member can search the DVDs he wants by searching the catalogue.

Available catalogue

The shop assistant will reply that the DVDs he wants are available or not.

If not available, reserve DVD

The member will reserve DVDs if not available.

If available, hire DVD & give member card

The member will hire DVDs if available. In order to hire DVDs, the member has to give member card.

Return DVD & member card

The member will give member card when returning the DVDs.

Check damage or overdue

The shop assistant will check whether the DVDs are damaged or not and overdue or not when returning the DVDs.

If damaged or overdue, request fine

The shop assistant will request fine if he or she found that the DVDs are damaged or overdue.

Pay fine

The member must pay fine if the DVDs he borrowed are damaged or overdue.

Return member card

The shop assistant will return member card after the member has paid fine.

-- We can also call the supplier, the distribution company as the DVD store buys the DVDs from the supplier or the distribution company. The DVD store has to order the DVDs they want to buy first from the supplier as well as the distribution company.

ASSUMPTIONS

In Task-1, the assignment asked us to create a process model for the DVD loans system. It told us to create a context diagram of the DVD loans system. So, I drew Level 0 of the Data Flow Diagram for the DVD Loan system. Then, I wrote the drawbacks of manual system and the benefits of the computerized system when it said to present a statement of the aims and objectives of the DVD Loans system. After that, I illustrate the Level 1 of the DFD as it mentioned us to sketch the Data Flow Diagram containing process description, dataflow descriptions, data store contents and external entity definitions.

In Task-2, I demonstrate the Entity Relationship Diagram for the system and I mention the entity descriptions for all entities that I stated in the diagram. After that, I drew the tables to represent the appropriate attributes for all the entities consisting primary key and foreign keys. In addition, I also declare the relationships detailing optionality and degree of relationships between entities.

Task-3 asked us to produce an Entity Life History (ELH) for a DVD. I created ELH for only a DVD process.

In Task-4, it told us to create a database design for the DVD loans system. The database design that we need to produce have to include a set of fully normalized tables showing the normalization process for each and the data dictionary entries for all items included in the database design. That's why I drew the normalization form for each process; borrow, return, reserve and etc.

In Task-5, we are required to demonstrate a prototype user interface for the DVD loans system. Searching for a DVD for loan, processing a DVD loan and registering a new customer should be consisted when we are creating the prototype user interface. So, I produced the draft screen design and the prototypes for these three user interfaces. Then, we need to print screenshots of the above three user interfaces. If it is necessary, we need to describe where validation rules are applied and the reasons for this. Therefore, I mentioned some error and the description for the validation rules.

In Task-6, we need to create a complete report describing the system design for the DVD store. The report must be included the details of Task1 to Task 5 and details of the site preparation for the installation of the system and details of the hardware to be installed. as a result, I made the entire report including assumption, review, advantages and disadvantages, site preparation for the installation of the system and the hardware and the software requirements.

REVIEW OF TASK 1-5

In Task-1, I drew DFD Level 0 of the DVD loans system, stated the aims and objectives of why I have to do this assignment and the DFD Level 1 including the process description for Registration, Borrow & Reserve, Return, Order and Sales, dataflow description for Enquiry for new member information, Give information, Request member form, Give blank member form, Give complete member form and member fees, Give member card, Choose older DVDs and sold, Make payment, Order DVD, Give new DVD, Search catalogue, Available catalogue, If not available, reserve DVD, If available, hire DVD & give member card, Return DVD & member card, Check damage or overdue,

If damaged or overdue, request fine, Pay fine, return member card and data store contents for Member, DVD, Copy DVD, Reserve, Borrow, Supplier, Order File and the external entities definitions for the Member, Customer and the Supplier.

In Task-2, I created the Entity Relationship Diagram for the system. Additionally, I pointed out the Entity descriptions for Member, Customer, Supplier, DVD, Order, Order detail, Reserve, Reserve details, Return, Return details, Purchase, Purchase detail, Borrow, Borrow detail, Store, Sales, Sales detail . Also I identify the attributes for Member, Supplier, Customer, Order, Purchase, Store, Sales, Reserve, Borrow and Return including primary key and foreign keys. After that I mentioned the relationships detailing optionality and degree of relationships between entities such as the relationship between Member and Borrow, Borrow and DVD, Borrow and Borrow details and so on.

In Task-3, I created an Entity Life History for only a DVD. At first, I drew the ELH for DVD loan. Later then, teacher Daw Wah Wah said it's only for DVD not for the DVD loan.

In Task-4, I made the normalization forms of Member registration, Customer registration, Supplier registration, Order, Borrow, Reserve, Return, Purchase, Sales and Store. I mentioned the Data dictionary of Data Element, Date Store, Date Structure and the Date Flow for the DVD loans system.

In Task-5, I produced a prototype user interface of the Searching for a DVD for loan, processing a DVD loan and registering a new customer. I used Microsoft Visio to create these three. For validation rules, I show the error message box when the member ID and member name do not match, the member forgot to fill the required details and so on.

In Task-6, I made the report including the details of Task-1 to Task-5 consisting of site preparation for the installation, hardware and software requirements.

ADVANTAGES AND DISADVANTAGES

Although I've tried so hard for my assignment, that cannot be a perfect one. There may have some weaknesses as I'm not a professional. For example, when we are searching the DVDs, there's no picture of that DVD. I think, it will be better if the member will be able to see the cover of the DVDs he or she want to borrow. That's only a drawbacks that I mentioned. There may be more than one shortcoming, I believe. However, I did my best for my assignment as I can do.

SITE PREPARATION FOR THE INSTALLATION OF THE SYSTEM

Power Supply

We have to make sure that there are enough electrical outlets and that the capacity of the circuit is sufficient for the expected load where necessary Uninterruptible Power Supply units and isolators should be used.

Heat dissipation

All electrically powered equipment generates heat. So, both have to be careful the positioning of machines and the potential which is needed for the air conditioned that should be considered to make sure that excessive heat is properly dealt with.

Office alternation

The certain items of equipment can take up large amounts of space or require special cabling. Therefore, the office premises may require modifications in order to accommodate them. Any alternations need to be completed well before the installation of equipment which may be damaged by dust or dampness.

Office Layout

With the introduction of a computer based system, any existing manual routine are bound to change. As a result, it may be necessary to change the office layout to facilitate the new computerized procedure.
