The Plan outline of hardware and software package i will be installing:

I have a plan to buy 8 different laptops for the staff members. There will be one laptop for the manager's office with higher configuration than the other 7 laptops because I will be installing Microsoft Windows HPC Server 2008.

The other 7 staff members including the field staff will also have their own laptops with windows XP which will be connected to the server computer by peer to peer networking. All the staff computers except the Manager's computer will be the client computers on the server 2008 installed on the main computer in Manager's office.

I will buy an enterprise version of window XP for using the same key on multiple laptops which will reduce the cost.

I will also install the office pack of REAL NZ real estate software which is especially designed for real estate business. It keeps all the records of the buyers, interested sellers, databases of latest house listings and almost everything which makes life easier for real estate people. There is an enterprise version available for businesses for using on multiple computers.

This is the system requirement chart for workstation staff computers for better reliability at work and for successfully running the REAL NZ software with my recommendations.

The processor (CPU, for Central Processing Unit) is the computer's brain. It allows the processing of numeric data, meaning information entered in binary form, and the execution of instructions stored in memory. (1.1)

The improved processor will increase the speed of the computer and the staff members will be able to do their tasks faster and the productivity will increase. Moreover i will need to put a bigger processor as the REAL NZ software requires improved processor as minimum requirements.

Random Access Memory is used by the system to store data for processing by a computer's central processing unit (CPU), also known as the processor. RAM stores the data in memory cells that are arranged in grids much like the cells are arranged in a spreadsheet, from which data, in the binary form of 1's and 0's, can be accessed and transferred at random to the processor for processing by the system's software. (1.2)

Ram needs upgrade as well because while the staff members will be multitasking on computer for better and fast service they will obliviously need better ram so that computer can cope with the work speed.

Hard Disk:

A hard disk is part of a unit, often called a "disk drive," "hard drive," or "hard disk drive," those stores and provides relatively quick access to large amounts of data on an electromagnetically charged surface or set of surfaces. (1.3)

A better hard disk will increase the storage capacity of the computers. As the business is growing there will be more files and records staff needs to preserve for records in the computer so 250 GB hard disk drive would be enough for huge file storage.

OS Version:

Operating system is the software which makes the computer hardware work. It consists of programs and data which help to manage computer hardware resources.

I choose windows 7 because it is the latest windows operating system version and supports all the latest softwares and programmes and it is fast as well, so staff would save time with faster speed.

The software i am installing is specialised software made for real estate agencies as it is designed to do different tasks automatically which real estate people have to do manually by using Microsoft office and excel. Such as:

managerial reports (unsettled sales, conditional sales, open contracts, and more)

performance reports (monthly performance, weekly sales activity, and more)

statement Summaries (franchise returns, sales staff statements, other agents, etc)

trust reports (end of month, trust trial balance, trust ledger, trust reconciliation etc)

franchise reporting - via REAL NZ LIVE (1.4)

Printer & Scanner:

The printer would make things easier to print reports and new house listing and all other kind of documents which staff need. On the other hand the scanner would help getting hard copies into soft copies easily. There is a fax function included as well in the all in one printer so staff would be using it as a fax machine as well.

The benefit of installing an all in one printer and scanner will save the money and will be reliable as printer does fax function as well. I will be installing the printer on the network with the help of Windows Server 2008 installed on Manager's computer.

The purpose of monitor is to display text and graphics produced by a computer.

I have selected laptops for the all staff members and every single one of them have HD led screen to support the high graphics of the modern softwares and applications.

Optical Drive:

An optical disc drive is a disk drive that uses laser light or electromagnetic waves near the light spectrum as part of the process of reading or writing data to or from optical discs. (1.5)

2: Benefits

First of all the company will benefit from the improved information system as the productivity will increase. The company won't be dealing with the all manual paper work procedures anymore; rather they would be taking the benefit of the technology.

The work environment will be better and more relaxing for the staff as well because using the Ergonomic Key boards and mouse won't make them tired and by using the up to date software like REAL NZ will make things easier for them as it does a lot of the work automatically for them. So they don't have to write up huge databases of customers in word excel.

The customers will also benefit from the new information system as if the customer would need information about the house listings it will be clicks away with the REAL NZ software. They will not have to wait for all the paper work.

Company's Image:

By providing excellent and fast service the company would be earning a lot more revenues and image in the community. The use of new information system would enable the company to communicate with the customers more efficiently as well which would increase customer satisfaction.

First of all the hard disks of the computers have been updated and they have more storage area now. Moreover the most important change is the server external storage system. I will set the server to send all the files on hard disks of the computers to an external media every evening at 5 pm which will be handy if any data losses on computers we can restore it from the back up.

The new information system consists of latest technology laptops with 802.11b/g/n WLAN; Integrated 10/100BASE-T Ethernet LAN (RJ-45 connector) WIFI technology which enables a very fast internet connections. Thus, the communication will also improve as well and the staff will be able to contact the customers more efficiently. Every staff will have their own laptops which would be much reliable than having one computer for the whole company.

Business opportunities:

Information systems play a vital role in the e-business and e-commerce operations, enterprise collaboration and management, and strategic success of businesses that must operate in an internet worked global environment. Thus, the field of information systems has become a major functional area of business administration. (1.6)
