We offer three alternative technical solutions for the system. The first system is an Information Kiosks system, the second system is a Web system and the third system is an Email system. For each of these systems, we will discuss the advantages and disadvantages.

Email System

An email system is a technology that includes creating and sending information from one place to another, using a computer terminal and an Internet connection. It has proven advantageous in our personal as well as professional lives. A majority of businesses around the globe use email as the most employed manner of rapid and effective communication. It is a significant tool for our Information System as a technical solution.

E-mail is a system to create text, and send and store data in digital form through the network. Previously, the e-mail system was based on a Simple Mail Transfer Protocol (SMTP) mechanism, a protocol which is used to send the e-mails from one server to another. Currently, the e-mail technology uses the store-and-forward model. In this model, the users send and receive information on their own computer terminal. However, the computer is used for connecting to the e-mail architecture. The creation, transmission and storage of e-mail takes place only when the connection with this e-mail architecture is established. Furthermore, IMAP (Internet Message Access Protocol) is the newer protocol, allowing you to view and sort messages on the mail server without downloading them to your hard drive.

The e-mail system is one of several technological solutions that have influenced our lives. It has changed methods of communication. As a result, it is essential for us to check out the advantages and disadvantages of the most common tool used on the World Wide Web.

Advantages of the Email System:

Easy to use:

The e-mail system is easy and simple to use because we can prepare and send and receive messages. In addition, we can send e-mail attachments of digital documents via e-mail.

Speedy Information Transfer:

The e-mail system is certainly known for the rapid transfer of information it provides. This speed of transfer enables us to work faster and in an effective manner since we can get accurate information at any time and make an appropriate decision about events or effectiveness through e-mail.

Low Cost:

Money savings is one of the most significant advantages of an email system. The costs involved in maintaining an email system are mostly very low. We need to pay regular charges for Internet connection.

The E-mail system is clearly the most secure method of communication compared with letters and faxes. If letters or paper documents fall into the wrong hands, they could be ill used and that may be harmful to the business. And if faxes containing confidential information are left unattended on the fax machine, they can also be used in a negative manner. E-mail messages ensure the security of information and records and details. Moreover, if we want to secure our email messages, we have to use the PGP (Pretty Good Privacy) technology.

Advertising is one of the best ways of generating income through an email system. The stakeholders can advertise their products or services through the website.

Disadvantages of the Email system:

Viruses are computer programs written to damage any computer, or control it. These programs copy themselves and infect more of the computer. The recipient needs to clear the messages and viruses transmitted through them which have the ability to do harm to computer systems.

E-mail messages used to send spam and unwanted advertisements is called spam. We have to check and delete these unwanted messages and that can take a long time, and it has become essential to prevent or filter unwanted e-mail messages using spam filters.

This is the act of storming the security of a computer by hacking. When an e-mail is sent or before it is received by a recipient and there is a distance between servers located in different parts of the world, the e-mail may be hacked by a hacker.

Information Kiosks

A Kiosk is a computer-based terminal or display that is used to provide information, typically in a public place. Kiosk systems are being used in a variety of applications, including information directories, customer self-service terminals, electronic catalogs, internet access terminals, tourism guides, and more. One of the popular Kiosk systems is the interactive kiosks system such as information kiosks.

Information Kiosks provide tourists, visitors and residents with a self-service touch screen that displays videos and slide shows of businesses along with maps and useful details for making a decision to contact a business and visit.

The integration of technology allows kiosks to perform several functions, evolving into a self-service kiosk. This will enable users to validate their user name and password in order to have access to all information required.

One of the most essential factor when we design an information kiosk is its interactive design which means the design of interactive kiosks usually requires larger buttons and simpler decision trees than a web page or a computer-based interactive.

Advantages of Information Kiosks Systems:

Easy information access:

The information access to an information kiosk is very easy. An Information Kiosk has a touch-screen integrated with a computer and customized software that is securely enclosed and displayed in public places. Thus, it enables consumers to electronically access information, products and services instantly. Kiosks are different from a standard PC as it is created for a specific user and specific purpose and is owned, controlled and operated by the deployer. The user can select essential options until they get right into their information.

Saving time and money:

One of the best advantages of using an information kiosk is to save time and money. It can provide the user with all the information he needs in a short time. It is not possible to participate with all users over the different kiosks within a short time. And all the inquiries do not need anyone to handle because of priority issues. It is easy to set up an information kiosk and save money to build a call centre or huge web system.

Empowered 24x7 round-the-clock service operation in public:

An information kiosk system will be activated all the time. As a result, any user can get their required information any time of the day. It is available 24 hours seven days a week to help users to do some simple tasks.

No need to connect to the internet:

To get access to an information kiosk system, a user does not need any internet connection â€" just a touch-screen integrated with the computer and customised software that is securely enclosed and displayed in public places, thus enabling consumers to electronically access the information.

More interaction with users:

The users using the information kiosk system are attracted when the information kiosk provides the information to users by using a touch screen which puts a user-friendly face to your services and they are the most intuitive way to interact with the user as they think they are being taken care of by people.

Multi-lingual service option:

An information kiosk system can use many languages to interact with people. When the user begins to acquire his information, the system will ask the user to choose the preferred language.

Disadvantages of the information kiosk system:

High Installation cost:

Determine where you will be then what the cost of purchase and download of the system and follow-up and maintenance will be. If you want to expand you will need to charge more.

Traffic congestion while using:

There may be a high risk of lots of traffic during some particular occasions during the week or peak hours during the day. A number of queries can be made at the same time. As a result, there may be traffic congestion.

User dissatisfaction:

The user can be easily dissatisfied with the system. Generally users do not want to wait for the menus and look at the large amount of non-useful information. So they get annoyed quickly because of the slowness of the menu.

Website System

A Web System is a technical solution optimisation. This solution will be a web page which can be reached from anywhere in the world with one computer or mobile phone or any internet connection to access to stakeholder's information. This website is designed using the best programming languages in terms of speed and access to data from the server to the user, as well as when you open and review websites. There are several advantages and disadvantages in creating web pages as follows:

Advantages of a website system:

All information is located in one place:

The user can obtain all the information needed by logging on to one web page. This web page displays the information about the services and facilities of stakeholders. For example, places to go and how to get there, time, and as well it will offer road maps on the web system.

Less time needed:

The web system requires less time to provide information for the user. The user just needs to go to the proper link that he wants.

Visualise all scenarios:

The user can view all the sites and services, food, clothing and other necessary activities, and any stakeholders through a system on the Internet. There may be different pictures and videos about these facilities.

Advertising is one of the best ways of generating income through a web system. The stakeholders can advertise their products or services through the website.

Secured transactions:

The web system is a place that has secure transactions using credit card or other media. It is safe to do booking or purchasing anything from the website.

Provides all contact information:

The web site will provide contact information for all stakeholders in the system. Also, any user can obtain more detailed information from the website.

Less money spent on IT:

With a website system, your host is responsible for all IT tasks including the often nightly backups, software upgrades, and re-configurations. This not only saves you potential headaches, but it frees up the user’s valuable time.

Less Money Spent on Computer Hardware:

The web system has extremely low hardware requirements. In fact, all you really need is a computer that can access the Internet. The hardware requirements are so low because all the processing is completed on the host’s server.

Map of route:

Users can view the map of routes from one place to another place. The transportation available, such as the pathways, train or bus services, will be shown in the system.

Disadvantages of the website system:

Server failure:

At anytime, the web server could crash. As a result, information will not be available to the users.

No confirmation from the service:

With a website, the stakeholders are providing the service. However, the system does not confirm this service which means the system will never know whether a user is getting a service or not.

Static information:

The web system does not answer all the information needed by the user. He has different

questions that are not included in the current web system. So all the dynamic solutions maybe cannot be found in the system.

Security and Privacy issues:

Any privacy and security issues can occur while using the web system. For example, if any user

does not want to share any of his private information or the website is being hacked by the hacker and then it goes out to the general public then it may become a serious issue.
