The main actors are the members include companies, foundations, congregations, churches, schools and social organizations. Basically, donors are the key player of this non-profit organization. If no donors, there will be no project and charity. We can not continue without the charity fund.

Like that, the charity is one of the important things to help people. If there is no charity, there is no project for young people and elderly people. In real world nothing is independent; things are dependent on each other.

Local authority provides the detail of young people who are going in the wrong way. If we don't get the detail of dangerous young people; we should train all the young people. I think it is such a waste of time.

Service Centre manager is responsible for operating the service center. They are also responsible for the employment of staff like full time worker. That service centre is invested by IT service. IT service also manages the project. The regional manager in overseeing the project and submit a report to the service centre. I assume the regional manager as R M in this whole document.

Trust Board is made up of the chief executive, finance director, operation manager, marketing manager and other industry. They are responsible for the daily management of the charity.

From a financial standpoint, the mission of a Nonprofit is to pay out the income and resources to the clients whom the organization aims to help. The projects are typically managed by an executive director. The Trust board is generally assuming legal responsibility for the success or failure of the nonprofit organization. The Trust board members are the key actors who provide leadership and administrative policy setting for the organization.

The Executive Director is usually a paid chief executive officer in a nonprofit organization. The actor is a key actor who manages the daily operations of the organization, interfaces with the board, and extends the boundaries of the organization in search of resources.

A2.2 The issues of the system are service centre, charity, local authority and IT service.

Service centre plays a more and more important role in a wide range of organizations, including not only in nonprofits but also in profit.

A Charity is a particular type of voluntary organization. A charity is regulated by a board of directors.

Local government is a huge provider of services - education, environmental health, social service and many others that benefit to the local community.

Directors are the biggest financial supporters of the nonprofit organization. Need to raise funds, the use of the tasks that the evaluation of success, lower wages for managers and staff, limited availability of resources, and lack of bonuses to increase productivity.

All organizations should deal with disagreements or conflicts at any given time. This conflict may be within the organization and involve the Committee and other members or staff.  Conflict can also be between the persons in organization or organizations such as their customers or a funding agency.

A problem in leading to successful way is emerged. The greatest source of friction and breakdown in voluntary organizations of all types, sizes, ages and relative degree of sophistication and excellence relates to misunderstandings and differing opinions between the volunteer and full time worker. The source of this friction is found in the role that deals with the service centre manager.

For example, in this dig-it project volunteers are led by young people. The young people do not want to obey the volunteer leads. So, there will be the conflict appears between volunteer and young people.

Full time worker manage the volunteer and project. He has to assign work on volunteer and work out rota for them. To manage the above conflict, full time worker matches the right group to proper volunteer. There also has the schedule problem between them.

There will be another conflict with funders, charity and service centre. The employment or engagement to raise funds or conduct any fund raising activities.

If a funder has mistakenly made a Donation to the Charity, the charity has to repay the amount.

The charity has the right to cancel the contract without cost, penalty or liability.

The charity held the personal data of funder and they are not updated so they become the incorrect data. So there is no security in that charity. So, the funders are afraid to give their details. This is the major conflict of the system.

A2.3 The service centre is the main focus of the system. Service centre plays a more and more important role in a wide range of organizations, including not only in nonprofits but also in profit.

It also connected with all other parts of the system. That service centre provides marketing, financial management, administration and other activities. It also controls the project. The service centre collected detail of young people and garden detail collected from local authority and that local authority also funded to the centre. Trust board controls the service centre.

A2.4 In this system, the executive committee controls the whole system. I assume executive committee as E C.The committee manages the charity and its funds. They discuss and allocate the project for young people to the service centre. The service centre is the mediator which serves all the wishes of E C. The committee gives the budget for the project from the charity fund. The E C maintains a system of decision-making checks and balances among the staff. It prepares and forwards regular program, management and other recommendations to the Board of Directors.

And the Trust board has confidence in its ability to make good choices, and that confidence was substantiated by her making good choices. The harness is the power of approval of decisions that should be approved by the full member in the trust board. In addition, the committee may participate in decision-making that should be the authority of the Executive Director.


Youthaction is a charity that support young people through a no of funded project. The Dig-it project is one of them. The followings are the key uses of the Dig-it project. There are three parts of the system like data gathering, managing project. Data gathering is getting Detail of young people and get garden detail. Group young people, assign to work and work out Rota is the part of the Managing project and Submit report.

B1.1 I think Data gathering and managing project are the primary key uses.

Data gathering - main purpose this Dig-it project is help dangerous young person to improve their life in some way. Many of the young people are from deprived backgrounds and many are at risk of committing crime. So, they collect the list of young people for their project. If there is no list of young people, there is nothing going to be happened. Mainly, this is the Dig-it project we have to collect the garden detail also.

Managing Project - In the Dig-it project, there are about 30 young people involved in the project. The young people are arranged in groups and each group is led by one of the volunteers. So, there is a person who needs to manage them all. One full time worker is managing project and volunteers. The duty of Full time worker is not only working out Rota but also matches the group. The R M has to make financial report and daily report to manage the project.

B1.2 If I assumed the above scenarios are the primary key, the following will be the secondary scenarios.

This is the Dig-it project we have to collect the garden detail also. But the aim is to show the young people who are misleading to the wrong way to walk in the right path. There will be many project to train them. Only for the dig-it we have to collect the garden detail. If it is not the dig-it project, we don't need to collect the garden data.

If there is no volunteer, the full time worker does not need to assign to work. Also no need to matches the group. Sometimes there will be conflict between volunteer and young people and full time worker and volunteers.


B2.1 Full time worker - report to the regional manager and may support the work of the service centre.

Volunteers - Volunteers are unpaid personnel, and generally work under the direction of the service centre manager.

Local authority - where we can get full detail of young people as well as garden details

Regional Manager - one person who is responsible to carry out the wishes of the board. The R M is directly accountable for the work of the staff and supports the work of the service centre.

Get detail of young people - a young person can be referred to the project from a no of different sources. These would be by school, the youth offending service, the police or youth clubs. So, detail of young people is needed to record. So, the young person details can be collected from Local Authority.

Get garden detail - In that Dig-it project is to take young people in helping to look after the garden of elderly. Therefore, the garden detail also gathered from Local Authority.

Group young people- one full time worker is managing project and volunteers. In the Dig-it project, there are about 30 young people involved in the project. The young people are arranged in groups and each group is led by one of the volunteers. So, there is a person who needs to manage them all.

Assign to work - it is the one of the duty of full time worker. He has to assign to work on volunteers. The young people are assigned to work with volunteer.

Work out Rota - that full time worker has to work out Rota. Not only work out Rota but also matches the group. (That means that young people are led by which volunteer.) It is not easy work to do because he comes to realize the character of young people and their nature. So he can provide particular work for them and matches group for them.

Submit report - full time worker made a daily report and the R M produce financial report. And then submit it the service centre. The daily report is let us know what works are done or not. The financial reports are reports which show the cost of the project.

B.2.2 I choose managing project as a primary scenario. Managing a project is not easy job to do and it also needs skill and experience for it. In the Dig-it project, full time worker are arranged the young people in groups. The young people assigning to work with volunteers. Then working out rota of volunteers and matches the groups. Scheduling is the difficult thing I have ever done. If you date with young people, volunteers are not available at that time. They normally give up one morning or afternoon to working on the project. Before scheduling, the full time worker have to know the details of young people. Because he comes to realize the character of young people and their nature. So he can provide particular work for them and matches group for them.

B.2.3 The organization will face in disagreement or conflict at some time. This conflict might be within the organization and involve volunteer and full time worker. Conflict can also be between the organization and other people or organizations such as their clients or a funding body. The first important step is full time worker, young people and volunteers which include the objectives and organizational values, the skills and experience to do their job and are able to work well with volunteers and others. Developing accurate position descriptions for full time worker and volunteers will help them to understand their roles and responsibilities. There is also a good idea for full time workers to understand how to work should be done through regular meetings, developing procedures and providing training. It is useful for managers to provide direction for the organization.

B.2.4 I just need to know how many kinds of projects for young people? Do you have enough money for that? Is there any project planning for elderly people? What kinds of reports are produced in dig-it project? I want the answer from R M or service centre manager place.

There are many projects for young people. We get enough money from funders. If the dig-it project was successful, local authority invest more money into the project to employment of full time worker. This dig-it project is aim for both young people and elderly people. That mean young people are involved in helping to look after the gardens of the elderly. Financial report is the main part. There are the questions suggesting dishonesty or fraud involving a significant loss of, or a major risk to, charitable funds or assets when we need.

In the rich picture, the charity is managed by Executive committee. That committee is constituted of Chief Executive, Finance Director, Operation Manager, Marketing Manager and other Industries. They are responsible for the daily management of charity and review the operation of charity. They also handle the service centre which provides financial management, marketing and other activities. The service centre manager is responsible for the centre operation and raising funds. Service centre provide project for young people. Full time worker is work on the project and manage volunteer. A main activity is scheduling. Each project has a project manger and the dig-it project also has. The role of the project manager is to mange the project. The R M has to oversight the project. In this system, IT service is part of the project and it also manages the project. The charity is invested in this IT service. Funders are funded at the charity and for the project and make contracts with service centre. For the project, it needs the detail of young people so the detail can be collected from the local authority. The local authority not only provides data for the project but also funded to the dig-it project. The whole system is over seen by executive manager and R M. But the weakness of the system is the charity neglects the personal data of the funders. And holding the incorrect data which means that the expired data. If there is no charity, the E C will not need to be managed. If there is no finance director, the financial crisis will occur. If there is no operation manager, the organization will break down. If there is no marketing manager, their organization cannot be famous. If there are no other industries in the E C, the donation will be reducing because sometimes the industry sponsor for the project. If there is no service centre manager, project report, financial report and daily report cannot reach to the E C. If there is no full time worker, the project can take the long time to finish and no one will schedule for the project. If there is no project manager, no one will oversee the project and no one will report about the project to the E C. IT service is invested by charity because this is also a way of income process. The charity is also funded by local authority and funders. Local authority get data of young people from school, youth club, police and youth offending service.

A rich picture is the way of gathering and viewing user feedback. The development team may not have the time to design this type of view since interviewing all stakeholders would take a large amount of time and money. The rich picture gives a whole, complete view, each stakeholder's perspectives and objectives were made evident. If the project is small, it might not be worth the effort.

In the use case, there are three people in the dig-it system. They are R M, Full time worker and Volunteer. Roles of full time worker in dig-it project are grouping young people and work out rota and match the group. The roles of R M are submitted financial report and daily report. Full time worker assign to work on young people and volunteer. The young people are assigned to work with volunteer. And the local authority provides data of young people detail from youth club, school, youth offending service and police and they also provide garden detail. Full time worker is managed l0 volunteer and about 30 young people. He has to arrange group of three or four young people by one volunteer. That garden detail can be collected from the elderly people working with local authority and charity. Those details are given to the R M and he also gives it to project manager. So the project manager makes a meeting with full time worker. So the full time worker knows all the details and we will start his scheduling process. It is easy to make the schedule after know the details. Because he come to realize the character of young people and their nature. So he can provide particular work for them and matches group for them. The full time worker is watch close to young people and their activities and submits report to project manager. The project manager has to make report of daily report and financial report to the service centre manager. The service centre manager submits all of this report to the E C. This is the dig-it project so the young people are helping the garden of elderly people by cleaning. After finishing their cleaning, the full time worker call to elderly people to make sure they are happy.

The use case design prevents the rapid and emphasis on conditions. They provide flexibility are easily understood by the customer, and provide a simple means of communication between the client and the developers. But they are not easily capture non-functional requirements. Use case scenarios and gives detailed examples of how realistic users can perform their tasks in a given context with the future system. The main objective of scenario building is to provide examples of future use as help in understanding and clarification of user needs. Scenarios can help identify goals and usability likely when the task. The method also promotes developer buy-in encourages an approach to designing human-centered. Use case is the Effective way of thinking about future system.

Overall, the rich picture was a good exercise to learn about a different method for identifying stakeholders, their concerns and the processes that encompass their work. It can be used with other methods of requirements gathering and provides the big picture of a system. While the advantages and drawbacks to using a rich picture must be considered, the project and its goals and objectives, as well as the company culture, must be evaluated to identify whether using a rich picture is appropriate for the project.

In this system, it can't be easy to store the data with paperwork. If you do with the paper, the searching time of data is too long. So, I just want to give advice to use database for that. It is important to see the database as part of the overall process or system of the information management that supports the process. This means looking at where the information originates and where it goes, who collects the information and how, what training, equipment, and other support is needed, etc.

Non-profit organization must track information about people - current donors, volunteers, clients, potential donors and volunteers, etc. There will have some inconveniences if there is documentaries inflation. It also takes time to look up in books to search information. To be convenient to protect from documentaries inflation, the data should be kept systematically and separately. The basic advice of database is designed specifically for the unique needs of small mission-based organizations with very limited staffs and funds. Employees and volunteers of these organizations have to stretch existing resources a long way, and maybe not have the resources to hire a database manager full time or even a short-term consultant, let alone the purchase of software specialized database or send employees to computer training.

The charity must up to date the data of the people. Given these current and accurate records is extremely important for the health of your organization. Without proper documentation, you will be unable to meet regulatory requirements should you be audited by local agencies. According to the system, the charity is failed to keep personal data secure, and in some places they become an incorrect data. Whether you know it or not, the personal data is important for everyone. Any attacker who wins the hand of your personal data can easily be one of many things: As such, to "secure personal data" means that you take steps to prevent others from accessing your personal information, and thus prevent identity theft, damage to credit rating and loss is worse than all, or access to your own financial assets.
