Business Communication is goal oriented. The rules, regulations and policies of a company have to be communicated to people within and outside the organization. Business Communication is regulated by certain rules and norms Communication is neither transmission of message nor message itself. It is the mutual exchange of understanding, originating with the receivers. In early times, business communication was limited to paper-work, telephone calls etc. But now with advent of technology, we have cell phones, video conferencing, emails, and satellite communication to support business communication. Effective business communication helps in building goodwill of an organization. Communication needs to be effective in business. Communication is also a type of management, without communication we can't work well or co-operate good in a business. So that, to make good way for profit the communicator should develop good communication skill. There are three types of communication which is Oral communication, writing communication and non-verbal communication.

Oral communication means them using the mouth to communicate during the speech. It's the clearest and fastest ways to communicate with each other. There are promote an understanding of the real information need and the communication of relevant information

Writing Communication means they write down the message in black and white. It's very common in the small business to large firm because it can provide a permanent and clear record to the audience. Examples of written communication avenues typically pursued with clients, vendors, and other members of the business community, meanwhile, include electronic mail, Internet Web sites, letters, proposals, telegrams, faxes, postcards, contracts, advertisements, brochures, and news releases.

Non-Verbal Communication

Nonverbal communication is a broad term used to describe any method of transferring information without words. Nonverbal communication may be intentional, it may be based on societal cues, or it may be completely unconscious. Common forms of nonverbal communication include body language and facial cues, fashion and personal grooming, hand gestures, and graphical signs and design.

1.1 The Communication Process

The communication process is the guide toward realizing effective communication. It is through the communication process that the sharing of a common meaning between the sender and the receiver takes place. Individuals that follow the communication process will have the opportunity to become more productive in every aspect of their profession. Effective communication leads to understanding. The communication process is made up of four key components. Those components include encoding, medium of transmission, decoding, and feedback. There are also two other factors in the process, and those two factors are present in the form of the sender and the receiver. The communication process begins with the sender and ends with the receiver. The communication process takes place in the various situations for the different reason and with the potential for many interpretations. It's having seven main elements such as:

As the source of the message, you need to be clear about why you're communicating, and what you want to communicate. You also need to be confident that the information you're communicating is useful and accurate. The sender encodes and individual differences that influences how they communicate. The sender encodes idea or felling in the words or signs that the receiver will recognise and transmits this message to receive.

Message

The message is the information that you want to communicate. It makes a connection between the sender and also the receiver. Message is a key idea that the sender wants to communicate. It is a sign that elicits the response, without message there will be a lot of inconvenience during the communication process.

Receiver

Your message is delivered to individual members of your audience. No doubt, you have in mind the actions or reactions you hope your message will get from this audience. Keep in mind, though, that each of these individuals enters into the communication process with ideas and feelings that will undoubtedly influence their understanding of your message, and their response. To be a successful communicator, you should consider these before delivering your message, and act appropriately.

Feedback

Your audience will provide you with feedback, verbal and nonverbal reactions to your communicated message. We must pay more attention to all this feedback, as it is the only thing that allows you to be confident that your audience has understood your message. If you find that there has been a misunderstanding, at least you have the opportunity to send the message a second time.

Channel

Messages are conveyed through channels, with verbal including face-to-face meetings, telephone and videoconferencing; and written including letters, emails, memos and reports. Different channels have different strengths and weaknesses. The information technology provides the fast channel of the communication that is becoming more widely available and easier to use than in the past. The information technology is used to store, send, receive and present information. The entire organisations have the interval channel of communication and external channels. The flow of communication move through the organisation along the different lines or channels.

Context or setting

The situation in which your message is delivered is the context. This may include the surrounding environment or broader culture Communication is affected by the context in which it takes place. This context may be physical, social, chronological or cultural. Every communication proceeds with context. The sender chooses the message to communicate within a context. The same message can have a completely different meaning depending o the situation, since emotions and reaction to ideas and event vary in different situation.

Interference or Noise

The message received is not necessarily the something same as the message sent. Something other than the intended message is received because of the noise, or the interference, interrupts the intended message. To send the message by the electronic mail to a person who is afraid of technology and unable to access the computer screen and also the communication barrier will be occur because the channel is appropriate in this case. Write a memo or business letter to this person and the message is more likely to be easily understands and acceptations. Even when the communication barriers occur, something is communicated but the noise or interference distorts the intended message. Noise or the interference, which interrupts the messages or the communication flow between sender and also the receiver, can lead to misunderstanding, or to confuse interrupt the communication.

1.2 How can intended audience receive the right message?

A good communication is important to the audiences received the right message.  A good relationship can only be maintained by maintaining healthy communication with our near and dear ones. Good communication skills ensure that arguments and disagreements are kept to a minimum. Good communication will avoid arguments and insults. To effectively communicate a message, you must understand how a receiver will process your message. It is important to include visuals, auditory effects as well as kinaesthetic information to appeal to the widest range of listeners so that there will be very convenience when the business start. There are a few types of skills to ensure the sender have a good communication with the receiver

Control of time

A sender must have a clear grasp of his communication time, because as a sender, time is very important, every second is also money. If they can't control or waste the time, it will result in the loss of money. For example: If one is only an hour's time instructor, but he treated waste 50 minutes of the time the focus is not important, the results of only 10 minutes to explain some important points, so that he could not let the important information sent to the recipient. And also the receivers can't get the correct information from the senders. Therefore, a senders must be very right to control their own time on the speech, so that important ideas in a very short period of time to send to the receivers.

Right time and right place

During the communication, we must choose a suitable place to start the communication or we can call it as a meeting, a wrong place will affect the process of communication such as having a communication around the karaoke will affect the communication because it was too noisy. A suitable time to start the communication can rise up the concentrate of people, example if the senders choose a breakfast time to hold a meeting; receiver can't pay attention to the sender and will affect the whole communication process. Therefore, to avoid the noise and the attention from the receiver should have a right time and right place to on the communication.

Focus on the main point

The speaker should know how to focus on the main point when he is communicating with the audience. For example, the speaker should repeat two or three times when comes to the important part so that the audience will know those are the things they must know. Besides that, the speaker also can focus on his voice to emphasize the main point, for the example the speakers can change the volume become loudly and the audience can easy to catch up the main point what the senders communication.

Checking the audience action

Effective communication is also meant as paying attention to the nonverbal cues of the receiver. Nonverbal skills can distinguish to our body language such as when you anger, happy or worry your body language will automatic show out and let other know For the example, if an audience who are listening attentively will often give you eye contact or a gesture such as a smile or a nod of the head to let you know they are listening and they are understanding. Therefore, a nonverbal language can show how an audience paying attention during the communication.

Tag question and seek for feedback

Tag questions are perfectly acceptable if used occasionally. However adding a question to the majority of your sentences will communicate uncertainty. For the example, when the speakers finish the communication between the audience he can ask the question to the audience to ensure they understand the communication messages. After the communication, the senders can seek for the feedback from audience to ensure them understand about what he had said in the communication. For the example, when the speakers finish the communication, audience can send the feedback about the communication to the speakers, this can let the speakers know about the response from the audience make sure they understand the communication. Therefore, asking question and get the feedback from the audience is important to ensure the audience gets the right message.

Correct pronunciation and positive words

During the communication the senders must ensure their pronunciation is correctly, if the pronunciation is blur will make the audiences confuse and get the wrong information. For the example, the senders doesn't speak clearly in the communication might make the audience wrong hearing and cause misunderstanding between senders and audience. Therefore, sender can choose to use the positive words and correct pronunciation to communicate with the audience because most of the audience prefer to listen to the positive rather than negative words.

Preparing the notes

Before the communication start, the senders can send the notes to every receiver. For example: If there is no any notes of the communication prior to the meeting sent to each audience, and with the speaker when the language of communication is not clear enough, it will create between the two linguistic misunderstanding. However, if each receiver has a preliminary draft of the hands of time, even if the means of communication to communicate some of those issues, they can read from the prepared script to all the information. Therefore, a preliminary draft is necessary to send to each audience to ensure that they get the right information and data.

An effectiveness communication can let the audience more clearly what the senders send the information about. A wrong communication will let the audience misunderstanding the message and do wrong decision. Everybody also needs to communicate with each other every day, so an effective communication and an efficiency communication is important to the role that who plays. To ensure the senders and the receivers have an effective communication, so they must learn how to communicate to avoid misunderstanding in the life. To finish a good communication, the sender and the receiver have to always co-operate so that they will know after that the communication is really work after the meeting.

To ensure a product can launch very well in the market, a good advertisement is very important. An advertisement can bring out a good communication to the audience, the mediums commonly distinguish to three types, and they are electronic media, print media and moving media. The most commonly mediums use in the communication are such as newspaper, TV, bas, flyer and etc. So, what are the mediums are the best to communicate with the audience?

Electronic media: Electronic medium is an electronic to energy the communication to the audience. Nowadays the market will use the electronic mediums to communicate the message to the audience such as using TV, radio, cinema, electronic mail, electronic billboard and etc. However, using the electronic mediums can easy to attract the audience to know more about the product. But the electronic mediums only can maintain not more than 30 seconds because it taken high cost.

The senders commonly use the print media because it can take low cost than electronic media and can use in different language newspaper. This method usually will always used by the sales man.

Moving media: Moving media also can describe as out-of-home advertising. It is an advertising that appears in the internal and external on public transport vehicles, in waiting areas such as bus-stop, stations and terminals. Moving media can offer a longer life and is geographic selectivity, but it was expensive when employed on national basis and can't get the reliable message from the moving media. Moving media can reach the message to all population at every place until they catch the message.
