Introduction

For the successful and proper functioning of a business, a lot of factors and strategies need to be studied and evaluated. For the large business, organizations like Apple functions of the business are divided into different parts for the effective functioning. This is done to distribute the work of the organization for the smooth and undisturbed functioning. Other parameters and factors, which will be studied in the present project in context to Apple, are business processes, quality gateways, business planning, operational plan, quality and risk assessment and the regulation of Health and safety and the change management.

1.1 Business Functions

Functions or the procedures, which are carried out regularly in a business organization to fulfil its aims and objectives and to work out effectively, are termed as Business Functions.

Generally, all the business organizations have these four core functions of business. Some organizations have separate departments and representatives for all the four functions while some others have common representatives working for two or more functions. The chosen organization Apple has all the above-mentioned four key business functions and the working of these functions is as follows:

Marketing: Marketing includes the methods, procedures and strategies adopted for promoting the products or services. Marketing is an essential and important part of a business as it makes a business recognized. Marketing strategy adopted by the Apple is simplicity and intuitiveness. They provides with only essential and crucial information to their customers and instead of bombarding them with a huge stock of details which confuses them and complicate the decision making process, make the decision making process clear and simple for its customers.

Finance: All the fiscal matters related to banking, credit, debit, investments, assets and shareholders are included under this category. A company with clear fiscal policies easily earns the trust of its customers and shareholders. Apple adopts a transparent finance strategy and strictly follows the code of Corporate Governance.

Operations: It includes the organizing of goods and services. Manufacturing, business premises, number of employees, equipment etc. are included under this category.

Human resources: It includes recruitment, training programmes and skills management of the employees working for the organization (Porter, 2008).

All the business functions are closely related to each other, failure or success of one affects the result of other.

Operations and marketing are interdependent: Department of operations in the Apple manage the production of the products and goods while marketing sells it in the market. For example; if the operations do not produce the goods of consumer’s demand (quality and features) then it is not possible to market it effectively as the target customers will not like it. In the same way if the Operations produces the best quality products but the marketing do not advertise it and market it then also the operations will be unsuccessful as it will not be able to sell its products.

Microsoft Corporation is an American multinational innovation organization with central command in Redmond. It creates, fabricates, licenses, backings and offers PC programming, purchaser gadgets, PCs, and administrations. Its best-known programming items are the Microsoft Windows (Gleasman et al, 2013). The vision of Microsoft Corporation is to enable people and organizations to understand their maximum capacity. The mission of Microsoft Corporation is to engage each individual and each association on the planet to accomplish more. The current aims and objectives of Microsoft Corporation are to make innovation that clients will embrace and appreciate on a huge scale, crosswise over stages and mediums (Gleasman et al, 2013).

1.2 Business Processes

All the activities and tasks of an organization, which are performed to attain the objectives and goals of the organizations, are termed as business processes. Process mapping is a flow chart diagram used to make the clear understanding of the various processes involved in a business (Connelly et.al. 2013). To evaluate the efficiency, growth and success rate of the business organization various process-mapping methodologies are adopted. Process mapping helps to clearly identify the strength and weakness of the organization. The steps of process mapping are as follows:

  • Identify the beginning and end of the process.
  • Identify the required steps and list them.
  • Make a proper sequence of the steps.
  • Draw appropriate and proper symbols.
  • Prepare a model.
  • Recheck for completeness.
  • Finalize the flow chart.

Importance of Process Mapping

  • It represents all the processes clearly and visually.
  • It recognizes and identifies the problem areas and opportunities, which can be utilized for the improvement of process.
  • It provides a common understanding of specific roles and contributions of all the participants of the process.
  • It streamlines all the work activities that can be used to explain the work process to the clients, shareholders or the management.

Different process mapping methodologies are as follows:

Pareto Analysis: This process is used to identify and observe the cause of problems occur in an organization. It is beneficial in making effective changes in the organizations.

Force Field Analysis: It is a technique used to identify the forces, which are hindering the growth and improvement

Brainstorming: It is a group activity can be used in parallel with the cause and effect tool. It gathers the ideas from all the members, which can be used later for implication.

1.3 Quality Gateways

Quality gateways are those networks or entry points, which provide entry or assess to another network. In business, they are the gateways through which all the requirements must pass to prevent the entry of unfair requirement. The concerned and authorized employee checks all the requirements emerging in the company for its completeness, relevance and coherence before approving it. Quality gateways are very useful for a company as they keep a check on the purchasing of the company, and proper management of stock. Quality gateways also ensure that all the requirements are mentioned specifically and in an unambiguous way to avoid any confusion or the irrelevant purchasing.

The Seven Fundamental Instruments of Quality Management is an assignment given to a settled arrangement of graphical methods distinguished as being most useful in investigating issues identified with quality. Project manager works as leader for the team so he must have all the leadership skills of controlling and managing the resources. Estimation of progress is also very much essential in the projects which are going to take longer time period. The following Factors are needed to be considered at the time of designing a plan:

Time Period: How much time you can spend in execution of the project and what are the disadvantages may occur in the delay.

Working hours: Determine the sufficient working hours for the employees for successful execution of the plan.

Costing: It is very crucial to forecast the overall costing of the project and budget it properly.

Evaluate the capabilities: It is also essential to evaluate the skills and the capabilities of the employees selected for the project.

Equipment analysis: Whether the organization has enough equipment or the required tools for the project.

2.2 MBO and SMART

Peter Drucker first coined management by objectives (MBO) in 1954. The concept is focused on the management of the organization by setting up its objective. In this type of management, lower level or subordinates employees also participates in the planning and decision making process with the senior staff and the top management. It is a two way process in which the objectives are set first and then the planning and steps are taken for attaining it. To make an efficient execution of each plan of an organization SMART objective is required. Each letter in SMART stands for:

Specific: An objective should be very clear and specific. It should answer all the queries like what, why, when, where, who etc. of the team members because people tends to focus more on the specific goals then the general goals.

Measurable: There must be clear criteria for measuring the process adopted to attain the objectives. So, that one can estimate about his journey towards progress.

Attainable: The goal or objective, which is determined, should be attainable. At the time of setting, the objective one should identify the requirements like knowledge, skills, attitudes, financial abilities and legal permit required to fulfil the set objective. One should clearly analyse one’s capabilities before establishing a target.

Realistic: The set goal or objective should be a realistic one it should not be a fake imagination. It means the objective must have the fair chances of being real.

Timely: Every objective should be framed with a time boundary. It should not be like that in any duration it should be done because without time limit it will be incomplete, will not have any urgency factor, and cannot motivate the employees or the people working for that.

SMART objectives at Apple

Apple is a successful name in the field of technology. They believe in producing realistic products in fixed period. Apple smartly sets their goals and objectives. For example, to plan for producing a technology, which is already leading the market, is a not an accurate goal while to attempt for developing the fastest and latest technological product is a realistic and beneficial goal. It is also essential that set goal or objective should comply with the available human resources and the capital. Because to plan for a project beyond the reality and more than the available capital and resources may prove as a wrong decision and will lead to losses and failure of the plan.

Areas of responsibility: The company is responsible to their customers and has to provide the best service available with them and should try to keep on improving it. The company should keep on updating the customers requiring their services. The company should do a proper market research to check for the scope of improvement and diversification (Tipagornwong and Figliozzi 2014).

2.3 Business System and its importance

Business systems are used to develop the efficiency, effectiveness and capabilities of an organization. Business systems are very much important to deliver the products and services to the target customer in an appropriate way. Without the proper business system, an organization cannot work efficiently. Therefore, a proper system is an essential part of an organization. Business systems are useful to develop the sales, technology and decision-making processes of an organization.

System Implementation: Business system implementation is very crucial for the proper functioning of a business organization. System implementation must be applied on all departments of the business like sales, marketing, accounting, inventory management, safety and quality systems, risk management systems etc. For the proper implementation of business system, it is mandatory to outline all its important principles and criteria. Then assign the role and responsibilities of the system to the members so that they can work in a proper channel or the association. It is also then required to provide with the required documents, details and guidelines to the authorized member of the system. After proper implementation of the system, its effectiveness should be checked and judged for its effective working.

For the proper execution of the Accounting system Apple needs to keep proper record of all the sales, inventories, stakeholders, credits, debits and all the other financial transactions of the company. When the organization manages all its transactions through a proper channel then the chances of fraud in money matters also declines. Also for the proper functioning of the organization and to meet the quality standards it is also required that all the transactions should strictly follow the legal acts and laws. If an organization has good system then only it can function smoothly and without any restrictions and unnecessary problems.

Concentrating on process: The procedure is the thing that makes the item or conveys the administration. Purpose: Objective or purpose of the plan should be very clear to the plan manager and the people working for it so that all of them could put their efficiency in the same direction and can support each other to attain the objective.

Processes: Activities, methodologies etc. which the people have to employ or follow to work on the plan should be clearly explained.

Physical Resources: It includes the infrastructure, equipment, capital etc. required for the successful execution of the operational plan.

Customers: They are the people outside the organization, which buys the products and services of the organizations and should be studied to know about their paying capacity, demand and interests.

Project Management Tools such as Gantt Charts, Project reviews, Project management software, Milestone checklist, Delivery reviews, scorecards etc. are used to monitor the progress of the project. These tools effectively used to control the activities of the project. For example; Gantt chart are formed to analyse the process of the project plans, it shows all the activities of the project and their interdependency on each other. They can be simple or the complex form depending upon the number of activities they are illustrating. Project management tools make it very easier to understand all the activities of the project and had the scope to review it weekly or monthly (Change and Communication ROI Study 2009).

Quality is the distinctive features and attributes of a brand or a product, which is liked by the customers for its set standards and values. Quality is a perception, which is judged by the customers. To keep and maintain the quality standards is the primary requirement to sustain in the prevalent market of competition. Generally, a product is recognized for its quality if it has the features as if a degree of excellence, free from defects or errors, easy to use, fulfils its purpose etc. Quality Management is that branch of a business organization, which works to check the quality of products and services and to make necessary changes in it for improvement (Gitlow et.al. 2005).

Meaning and Importance of Total Quality Management

Total Quality Management is a process of refining and improving the products continuously based on received feedbacks. Requirements of TQM vary from business to business, for some business; it is an essential perquisite to maintain itself in the market. It is an organized and structured approach, which works for maintaining and improving the quality standards of a product or services on the regular basis. Quality Management System works in a PDCA cycle where P stands for planning, D for doing, C for checking and A for acting. In planning the data and feedbacks are collected about the problem, then a solution is implemented on the problem in doing, then the results are checked again after solution and the previous and the modified stages are compared and at last the change in the process is forwarded and recommended to the all the concerned individuals.

Quality circle is a group of people who are working together and regularly identifies and discuss the problems emerging in the way of work and try to find out its solutions altogether.

ISO 9000:2005 is a quality management system, which is last updated in 2009, is a system of ISO 9000 family and describes the fundamentals of quality management system. This standard is applied on auditors, regulators, certification, and development of standards on the products, which are purchased or sold by the organization. The chosen organization Apple strictly follows the norms of ISO standards. All the products and services provided by this company are of high quality and standard. It is one of the largest and highest selling company which deals in mobiles and technology.

3.2 Quality Culture

An organizational culture includes the policies and procedures of business improvement, organizational values, cultural scenario, the cultural traditions, and a Quality culture means establishment of that culture which continuously work for the improvement of the quality. An organization with the quality culture differs from the one with traditional culture on many aspects. As the organization with quality culture values the customers’ feedback and their satisfaction, they value the relationship with the suppliers, they follow a problem solving approach and performance improvement approach (Geneva: International Organization for Standardization, 2010). Implementation of a quality culture requires planning and specific activities. For this, an organization must develop a specific department, which will focus on the responses of suppliers and customers and create a healthy communication with all the people related to organization. They will listen and consider seriously to all the problems, issues, complaints or conflicts.

Quality can be monitored and evaluated through many ways:

Evaluation of the performance: Performance of the employees and success ratio of the plans indicates the growth of the quality culture. Measuring criteria should be set to measure the performance at all the levels.

Evaluation of the expenses used for developing quality culture and the resultant benefits of the process.

The efficiency of the quality culture can be measured by analysing and measuring the forces, which boost up the process versus the forces, which restrains it. For example; the factors like Good communication, training, strong relationship with client and suppliers, healthy competition, enthusiasm and involvement of employees enhances the quality culture while lack of confidence, misunderstanding, lack of coordination and weak management prevents the development of quality culture.

To assess the possibility of hazard and the harm, which it could, cause is termed as risk assessment and to determine and apply the control measure to prevent hazard is a part of risk assessment (Coman, et.al. 2010).

4.2 Health and Safety regulation

Health and safety regulation and legislation explain about the duties and responsibilities for health and safety of employees, customers and public. This law governs a sense of responsibility to take care about health and safety of all the concerned people of the organization. According to the legislation, Environment health and safety, prevention against technical hazards, proper management of waste, combustible dust hazard, prevention against chemical hazard, prevention and prepared against Emergency, Ergonomic hazard protection etc. should be followed at the Apple. Apple has provided specific guidelines to take safety measures on every procedure towards health and safety. It takes due care of all the processes and policies concerned with health and safety. It also provides training to its employees for the effective management of emergency and proper regulation of the environment.

4.4 Practical application of H & S policy at Apple

For practical application of H & S policy

Inspection: Inspection is a method of observing the activities of the persons and the infrastructure of a place. It is done to rule out the risk of hazards by human error or the physical resources (Health and safety law, 2009).

Testing: Test the functioning of equipment, machinery and tools, which are used in the manufacturing and other processes of the organization. Also, test the new products before selling for any defect or unsafe issues.

Auditing: It is a method of checking all the processes to ensure that they are performed according to the law of legislation.

Observation: Regular observation of all the departments and processes of the company to ensure health and safety is also essential.

Benchmarking: It is a process of comparing the H & S policies of different departments or industries and to implement the best out of all (Health and Safety Commission, 2010).

Conclusion

For the effective functioning of a large-scale company like Apple, all the parameters required for a healthy and successful business should be considered. All the business oriented factors like effective communication between employees, suppliers and customers, regular and proper assessment of risk factors, proper channels to work on the business systems, proper implementation and regulation of Health and Safety policies and procedures and effective and proper planning should be considered and determined. It is also required that Apple follows all the rules and regulations abide by the law of legislation of the nation where it is working to keep the legal issues and problems out of reach of the company’s processes.
