College Events Management
During MBA course, I faced a difficult situation. A Couple of week was left in the initiation of my exams. On the second day, I was called by my center head and informed that this time inter college competition would be held in our college. He asked me to prepare a schedule of the various events, colleges and a list of participants. He also assigned me the responsibility of comparing in the event. This competition was supposed to be held on the last day of my exams in the evening.
When I came out from the room, I was shocked and tensed; there was a question in my mind whether I would be able to prepare for my exams or not and how I would manage all those things. For a while I sat alone and cogitated properly. And then, I realized the importance of the time management because that was the only tool that could help me to overcome that situation.
Firstly, I calculated the hours of free time and study time in college and at home. And then, I decided to make use of my free time in preparation of competition and rest to my study. Further, I decided to attend all my classes attentively and used to read my course book in the library. For the purpose of competition, I decided to make the teams of students and delegated the responsibility because team work can make the impossible possible. So, the following day, I called the meeting of the students and told them about the competition. Then I asked their views and tried to generate the spirit in them. Further, I asked them to give their names in activities in which they are interested. In my free time, I analyzed the lists of the candidates and segregated them according to their area of interest. In my next step, I decided to make one leader in each group, so that I could get the information about the progress made in the activities by consulting the leader.
For my study also, I made the plans in such a manner that the subjects that were found difficult, were to be studied first. I had planned to use the library for my difficult subjects and at home, I studied the easy subjects. I had increased spending time in library for reading the books. Apart from this, I used to get up early in the morning for reading my course books. And at the end of the day, I gave few minutes to myself in analyzing whether I was managing the things in right manner or not. To which level I stood and what was to be done in order to be improved.
To plan for the competition, I used to utilize the classes in which I was proficient or having the subject knowledge in preparing for the various events. I used to meet the leaders of the different groups asking about the progress and the difficulties. All the leaders were handling their responsibility in a nice manner. Problem arisen in one group, which was responsible for preparing the marketing quiz for the quiz competition. In this group, they were not able to decide which question should be selected and which is to be rejected. For this, I advised the leader that it would be more appropriate that final selection of the quiz should be done with the help of marketing faculty because the faculty could easily tell the worth of the question from the point of competition that too in an unbiased manner.
Through this interaction with the leaders of different group, I used to guide them. Accordingly, I prepared my comparing for the competition. In organizing any activity, I realized the importance of coordination. I guided the leaders of the groups to take care of the interest of each and every student, so that they don't feel neglected and best results can be obtained.
Finally, I decided the timings of the various events with the leaders and told them about the sequence that I planned. I asked their views also; with full consent of the members I finalized the competition.
As a result of the proper time management, delegation of work and coordination, I was ready with the complete plan before the commencement of my exam. Before submitting the final plan to the center head, I got it scrutinized by our faculty of event coordinator; she appraised the work and then I submitted the final copy to the center head.
